Duties

  • Manage and maintain executive calendars using tools such as Microsoft Outlook Calendar and Google Workspace, scheduling meetings, appointments, and travel arrangements efficiently.
  • Provide high-level administrative support including drafting correspondence, proofreading documents, transcribing meetings, and preparing reports with accuracy and professionalism.
  • Coordinate projects by tracking deadlines, organizing resources, and liaising with internal teams to ensure timely completion of tasks.
  • Handle complex phone systems with excellent phone etiquette, screening calls, taking messages, and directing inquiries appropriately.
  • Organize and maintain filing systems—both digital and physical—ensuring easy retrieval of documents while managing sensitive information with confidentiality.
  • Assist with bookkeeping tasks using QuickBooks or similar software, including data entry, invoicing, expense tracking, and basic bookkeeping duties.
  • Support event planning efforts for company meetings, conferences, or team-building activities from logistics to execution.
  • Provide office management support by overseeing supply inventories, managing front desk responsibilities, and ensuring the office environment remains organized and welcoming.

Skills

  • Proven experience as an executive assistant or personal assistant with strong office management skills.
  • Excellent organizational skills with the ability to prioritize tasks effectively in a fast-paced setting.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace applications (Docs, Sheets), and familiarity with Microsoft Outlook Calendar.
  • Strong typing skills coupled with transcription and proofreading abilities to produce clear and accurate documents.
  • Experience with bookkeeping software such as QuickBooks; familiarity with data entry and basic accounting principles.
  • Exceptional communication skills—both verbal and written—with professional phone etiquette across multi-line phone systems.
  • Demonstrated ability to coordinate projects efficiently while maintaining attention to detail.
  • Knowledge of office procedures including filing systems, front desk operations, and customer service best practices.
  • Ability to handle confidential information discreetly while providing outstanding executive administrative support.
