The American Academy of Functional Health provides educational and certification training in Functional, integrative, nutritional, and herbal medicine to healthcare providers.
We are looking for a reliable, friendly, and motivated Office Administrative Assistant to join our team part-time, with the opportunity to expand into a full-time position.
This person will support our students, maintain educational schedules and records, assist with online program access, and help ensure that important administrative responsibilities are completed accurately and on time.
The ideal candidate communicates professionally, learns technology quickly, stays highly organized, and takes ownership of responsibilities without requiring repeated reminders.
What You’ll Be Doing
- Answering phone calls, text messages, and emails from current and prospective students with professionalism and friendliness
- Helping students access their online programs, classes, recordings, handouts, quizzes, and educational materials
- Managing calendars, class schedules, Zoom links, student reminders, and routine program updates
- Entering and organizing student records, enrollment information, new leads, spreadsheets, and electronic files
- Preparing certificates, packing and mailing educational materials, and providing general administrative support to the Academy team
What We’re Looking For
- Excellent written and verbal communication skills with a friendly, patient, and professional approach
- Exceptional organization, attention to detail, time-management skills, and follow-through
- Strong technical aptitude and the ability to learn new software and online platforms quickly
- Comfort using Google Calendar, Gmail, Google Drive, spreadsheets, and web-based applications
- A dependable and motivated person who can work independently, solve routine problems, and keep the team informed
Preferred Experience
- Previous experience in administrative support, customer service, student support, or office administration
- Experience communicating with customers, students, patients, or members
- Experience with Kajabi, Zoom, Google Workspace, Slack, GoHighLevel, Canva, or similar platforms
- Experience with an online school, healthcare organization, training company, or continuing-education provider
- Experience with social media, basic website updates, or video editing is a plus but not required
Familiarity with Functional Medicine, integrative health, healthcare education, or continuing education is helpful but not required.
A college degree is not required. We are primarily looking for someone who is friendly, dependable, technically capable, highly organized, and eager to learn.
Requirements
- Availability to work Monday, Wednesday, and Friday from 10:00 AM to 6:00 PM. Other hours can be discussed.
- Valid driver’s license, clean driving record, and reliable transportation
- Ability to work in our Portland office
- Ability to use stairs, stand for short periods of time, and prepare, pack, and organize small boxes and educational materials, with or without reasonable accommodation
- Ability to handle confidential student and payment-related information professionally
- Employment may be contingent upon satisfactory completion of a background check
