Overview:
The Construction Coordinator is an essential and vital player on the home building team. The PC is one of the main resources for Building Consultants, Project Managers and the customer. The role of the CC is one of the most diverse in the company. In some offices the CC is the primarily responsible for production assistance from a administrative prospective. In others the CC has a dual role in assisting the sales staff in many of their clerical, advertising and mailing responsibilities. The CCs make sure bills are processed and paid on time and correspond with others. The CC is a vital communication link between the office and the field operations. As the CC, support and actions this role gives the Project Manager (PM) is necessary for his or her success in job site inspections.
General Duties
9) Primarily responsible for the day-to-day clerical and administrative operations of a local
office.
10) Manages the phone system and trains all personnel in its use.
11) Serves as a liaison with settlements, AR, AP, estimating, sales, trade partners, suppliers,
service, etc., for sales and Project Managers
12) Organizes paper work and other office procedures and maintains files.
13) Orders and stocks office supplies as necessary with approval.
14) Keeps inventory of office & construction equipment maintenance and repair.
15) Trains new employees in office procedures as required.
16) Organizes and assists in setting up new offices in the region as required.
17) Coordinates vacation request forms, mileage reimbursement forms, employee
reimbursements, expense reports, attendance and other administrative paperwork.
18) Trains new employees in insurance, vacations, expenses and other personnel issues.
19) Assists in assembling and tracking job start packages prior to construction; Project
Manager has primary responsibility.
20) Makes calls and schedules for Project Managers, as needed.
21) Assists sales staff and Production in maintaining the office and model areas.
22) Coordinates all workers’ compensation accident reports and forwards them to claim
services and corporate office.
23) Maintains first aid kits, OSHA, MSDS and safety program information.
24) Attends weekly Staff Meetings and scheduled District Meetings.
25) Maintains all Production Manuals, Production Memos, Training Programs, etc., and updates them as updates are received from the Corporate Office.
