Office Administrator – Qualifications
Technical Skills:
Proficient in Microsoft Excel, including advanced formulas, pivot tables, VLOOKUP/XLOOKUP, conditional formatting, and data validation
Familiarity with accounting software such as QuickBooks, Xero, or Sage
Strong working knowledge of Microsoft Office Suite (Word, Outlook, PowerPoint)
Comfortable using cloud-based systems (Google Workspace, Dropbox, etc.)
Ability to create and maintain spreadsheets for budgeting, project tracking, and reporting
Data entry accuracy and efficiency
Accounting & Financial Skills:
Basic to intermediate understanding of accounting principles
Experience with invoicing, billing, and accounts payable/receivable
Ability to reconcile accounts and assist with month-end closing
Support in budget tracking and cost control
Familiarity with sales tax filing and tracking expenses
Administrative & Organizational Skills:
Strong ability to create, implement, and manage office systems
Skilled in organizing and maintaining digital and physical files
Experience coordinating meetings, schedules, and internal communications
Excellent time management and prioritization skills
Ability to develop and improve standard operating procedures (SOPs)
Communication & Interpersonal Skills:
Professional and courteous written and verbal communication
Confidence in interacting with vendors, clients, and internal teams
