Office Administrator – Qualifications

Technical Skills:

  • Proficient in Microsoft Excel, including advanced formulas, pivot tables, VLOOKUP/XLOOKUP, conditional formatting, and data validation

  • Familiarity with accounting software such as QuickBooks, Xero, or Sage

  • Strong working knowledge of Microsoft Office Suite (Word, Outlook, PowerPoint)

  • Comfortable using cloud-based systems (Google Workspace, Dropbox, etc.)

  • Ability to create and maintain spreadsheets for budgeting, project tracking, and reporting

  • Data entry accuracy and efficiency

Accounting & Financial Skills:

  • Basic to intermediate understanding of accounting principles

  • Experience with invoicing, billing, and accounts payable/receivable

  • Ability to reconcile accounts and assist with month-end closing

  • Support in budget tracking and cost control

  • Familiarity with sales tax filing and tracking expenses

Administrative & Organizational Skills:

  • Strong ability to create, implement, and manage office systems

  • Skilled in organizing and maintaining digital and physical files

  • Experience coordinating meetings, schedules, and internal communications

  • Excellent time management and prioritization skills

  • Ability to develop and improve standard operating procedures (SOPs)

Communication & Interpersonal Skills:

  • Professional and courteous written and verbal communication

  • Confidence in interacting with vendors, clients, and internal teams

  • Ability to handle confidential information with discretion

  • Strong customer service orientation

Adaptability & Growth Mindset:

  • Open to learning new systems, tools, and processes

  • Willingness to take on new responsibilities and grow with the company

  • Proactive and solution-oriented mindset

  • Able to work independently and as part of a team

Preferred (but not required):

  • Experience in construction, pool services, or similar industries

  • Familiarity with project management tools (e.g., Trello, Asana)

  • Basic understanding of HR processes (onboarding, timesheets, etc.)

  • Associates or Bachelor's degree in Business Administration, Accounting, or related field
