Responsible for the company’s day to day office duties as assigned.
Duties and Responsibilities
- Greet clients / visitors
- Answers multi-line telephone system and take messages and / or contact salesman as needed
- Enter Leads in HubSpot (assisting sales team)
- Mail sales literature with proposals to prospective clients
- Print maps for drivers and attach in Smartsheet
- Daily pick up mail and distribute to personnel
- Prepare job packs for crews – Scan and attach to Smartsheet
- File and scan completed job folders (DM when done)
- Verifies job site locations and maps for crews, Dispatch and then Notifies Dig Safe for contracts 4 days prior to build start date
- Submit sold contracts on to Smartsheet – Hyperlink these to production in the Inventory System
- Process crew information sheet for job packs
- Email or Print crew schedule weekly from Smartsheet
- Email contracts as needed to subs
- Reviews, analyzes and monitors the company’s cellular plan
- Perform other duties as assigned by the supervisor
- Comply with Astro’s policies and procedures
