Job Summary
We are seeking a proactive and organized Office Assistant to join our dynamic team! This vital role involves supporting daily office operations, managing administrative tasks, and ensuring a smooth flow of communication within the organization. Responsibilities

  • Greet visitors and manage front desk operations with professionalism and warmth
  • Answer multi-line phone systems efficiently, directing calls accurately and courteously
  • Handle data entry, filing, and document proofreading to maintain organized records
  • Assist with calendar management and scheduling appointments for staff members
  • Support bookkeeping activities using QuickBooks or similar accounting software
  • Provide excellent customer service by addressing inquiries and supporting clients or patients
  • Manage office supplies inventory and coordinate procurement as needed
  • Maintain computer literacy by utilizing Microsoft Office, Google Workspace, and other office tools
  • Perform general clerical tasks such as photocopying, faxing, and mailing documents
  • Support administrative projects to enhance office efficiency and organization

Requirements

  • Proven office management or administrative experience in a professional setting
  • Strong computer skills including proficiency with Microsoft Office, Google Workspace, and data entry tools
  • Experience with QuickBooks or similar bookkeeping software is preferred
  • Excellent organizational skills with keen attention to detail and accuracy
  • Ability to handle multi-line phone systems with proper phone etiquette
  • Bilingual abilities are a plus to serve diverse client needs effectively
  • Prior experience as a receptionist, medical receptionist, dental receptionist, or personal assistant is advantageous
  • Strong communication skills combined with professionalism in customer support roles
  • Familiarity with clerical tasks such as filing, proofreading, and calendar management
  • Demonstrated time management skills to prioritize tasks efficiently
