- Answer multi-line phone systems efficiently, directing calls accurately and courteously
- Handle data entry, filing, and document proofreading to maintain organized records
- Assist with calendar management and scheduling appointments for staff members
- Support bookkeeping activities using QuickBooks or similar accounting software
- Provide excellent customer service by addressing inquiries and supporting clients or patients
- Manage office supplies inventory and coordinate procurement as needed
- Maintain computer literacy by utilizing Microsoft Office, Google Workspace, and other office tools
- Perform general clerical tasks such as photocopying, faxing, and mailing documents
- Support administrative projects to enhance office efficiency and organization
Requirements
- Proven office management or administrative experience in a professional setting
- Strong computer skills including proficiency with Microsoft Office, Google Workspace, and data entry tools
- Experience with QuickBooks or similar bookkeeping software is preferred
- Excellent organizational skills with keen attention to detail and accuracy
- Ability to handle multi-line phone systems with proper phone etiquette
- Bilingual abilities are a plus to serve diverse client needs effectively
- Prior experience as a receptionist, medical receptionist, dental receptionist, or personal assistant is advantageous
