SUMMARY: T his position is primarily responsible for administering charter and part charter agreements by performing the following duties.

Duties And Responsibilities

  • Initiates contact with assigned charter producers to explain booking procedures, booking policies, payment terms, and intake special requests.
  • Manages Charter files/accounts including creating and maintaining the charter master account.
  • Maintains relationships with travel agencies/charter producers including monthly follow-up calls to assess sales momentum and respond to client needs.
  • Creates and maintains individual reservations within the charter master account.
  • Intakes all charter special and custom requests and coordinates their fulfillment with the Operations department.
  • Handles high call and e-mail volume, navigates system software, and utilizes relevant internal tools.
  • Answers questions and recommends appropriate products to fulfill customer needs.
  • Manages charter inventory including, but not limited to, allocating, releasing, and blocking cabins in the reservations system and escalating inventory challenges to the Charter Manager and Vice President, Business Development.
  • Collects and processes charter payments and allocates said payments to the associated bookings and charter master accounts.
  • Keeps detailed financial records of all revenues and costs related to assigned charters including providing detailed financial summary to the client.
  • Requests charter airfare and custom hotel/land arrangements.
  • Coordinates with the Information Technology (IT) department for account productivity reports and assistance with system issues.
  • Coordinates with the Operations department any custom charter requests and communicates any important information in a timely manner.
  • Performs other related duties as assigned by management.

Qualifications

  • One year certificate from college or technical school or two (2) years or more related experience and/or training within the travel industry or equivalent combination of education and experience.
  • Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to write routine reports and correspondence in a professional manner while demonstrating business ethics and customer service. Ability to speak clearly and effectively via telephone, in person, and before groups of customers or employees of the organization.
  • Ability to calculate figures and amounts such as discounts, interest, and commissions, by adding, subtracting, multiplying, and dividing.
  • Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving several concrete variables in standardized situations.
  • Computer skills required: Internet Software; Intermediate Level Spreadsheet Software; Intermediate Level Word Processing Software; Electronic Mail Software; and Presentation software, and Intermediate Level In-house Reservation Software; Phone Software; Accounting Software; Inventory Software

  • Excellent organizational, leadership, interpersonal communication, and computer skills.
  • Clear and conceptual thinking ability is a plus.
  • Excellent judgment and discretion; ability to handle multiple priorities simultaneously, meet deadlines, and handle work-related stress is required.

  • Detail-oriented and works effectively under pressure while meeting all applicable deadlines.

  • Ability to communicate financial concepts and financial transaction data to travel partners and guests.

  • May require some travel on an as-needed basis.
