We are seeking a Medical Coordinator to join our Intake Department. This full-time position, based in Houston, TX, plays a critical role in ensuring clients are promptly connected with appropriate medical providers after signing with the firm. This position serves as the main point of contact between clients, medical providers, and internal staff and offers strong opportunities for long-term career growth. The Role
We are seeking a Medical Coordinator to join our Intake Department. This full-time position, based in Houston, TX, plays a critical role in ensuring clients are promptly connected with appropriate medical providers after signing with the firm. This position serves as the main point of contact between clients, medical providers, and internal staff and offers strong opportunities for long-term career growth. Determine appropriate medical treatment needs for clients.
Key Responsibilities
- Determine appropriate medical treatment needs for clients
- Identify and coordinate with medical providers near clients’ home or work
- Send and manage Letters of Protection (LOPs)
- Follow up with providers to ensure appointments are scheduled within 24 hours
- Ensure clients are seen within 24–72 hours of signing
- Serve as the primary liaison between clients, medical providers, and internal staff
- Maintain accurate and up-to-date client records in case management systems
- Save and organize LOPs and confirmations in client files
- Enter and update client insurance information
- Generate weekly and bi-weekly reports to track scheduling compliance
- Assist with scheduling and coordinating provider meetings
- Support onboarding and vetting of new medical providers
- Maintain provider information across internal systems

- High school diploma required; some college experience preferred
- 3–5 years of experience in a legal, medical, or case management environment
- Prior law firm experience preferred

- Familiarity with Lead Docket, Filevine, or similar case management software
- Excellent verbal and written communication skills
- Experience working in a fast-paced professional environment
- Highly organized with strong attention to detail
- Strong ability to prioritize, multitask, and meet deadlines
