About The Role
The File Manager maximizes the efficiency and accuracy of incoming correspondence across all dockets. This role ensures the timely processing, organization, and electronic management of legal documents while maintaining compliance with firm SOPs.
Responsibilities
- Process all faxes and emails for assigned docket (pre-litigation, litigation, fast track); serve as backup for other file managers
- Rename documents per naming conventions and forward to appropriate handling teams
- Monitor correspondence through fax@amarolawfirm.com; maintain all electronic faxes without deletion
- Provide working copies to handling attorneys upon request
- Back up the mail distribution admin during high-volume periods
- Process file closures, drops, and referral-outs via closeout@amarolawfirm.com per supervisor’s rotation
- Create electronic copies of client files per closing SOP; prepare HIPAA-compliant USB copies when requested
- Complete weekly hard filing per department KPIs; scan and shred closed physical files
- Maintain file room organization and restock common-area supplies
- Provide backup receptionist coverage for calls and lunch/break periods
- Audit electronic files for naming convention compliance
- All mail and faxes delivered and electronically filed by end of business day
- Client files scanned and closed promptly after settlement disbursement
- File room organized with no misplaced documents
- Strong attention to detail and organizational skills
- Dependable, self-motivated, and process-oriented
- Effective communication and ability to multitask in a fast-paced environment
- High school diploma or equivalent
- Proficiency with document management systems and office equipment
- Ability to handle confidential information per HIPAA regulations

- Monday–Friday, 8-hour shifts
