Position Summary:
Amaracon Testing and Inspections, LLC is seeking a highly organized and proactive Executive Assistant to provide high-level administrative support to senior leadership, specifically the President and the Business Developer Manager. This in-office position plays a key role in ensuring smooth daily operations and supporting executive decision-making within a fast-paced, technical, and team-oriented environment.
Duties
- Manage executive calendars, including scheduling meetings, appointments, and coordinating travel arrangements.
- Prepare, edit, and organize correspondence, reports, presentations, and other business documents.
- Serve as a liaison between executives and internal teams, clients, vendors, and other external stakeholders.
- Safeguard confidential information and handle sensitive matters with discretion and professionalism.
- Coordinate logistics for meetings, company events, and industry-related activities.
- Support financial and administrative processes such as expense reports, budget tracking, and invoice coordination.
- Maintain organized filing systems, office documentation, and operational records.
- Provide general office support to ensure an efficient and professional in-office environment.
- Prepare and proofread correspondence, reports, presentations, and other documents with attention to detail.
- Assist with event planning and coordination for company functions, meetings, and client engagements.
- Conduct transcription of meetings or notes as needed with accuracy.
Qualifications
- Bachelor’s degree or equivalent work experience preferred.
- Proficiency in Microsoft Office (Word, Excel, PowerPoint), Google Workspace tools, and familiarity with Microsoft Outlook Calendar.
- Proven experience as an executive assistant, administrative assistant, or similar role.
- Excellent communication skills—both written and verbal—and a professional demeanor.
- Advanced proficiency in Microsoft Office Suite and other relevant administrative software.
- Excellent time management, multitasking, and problem-solving abilities.
- High level of professionalism, reliability, and confidentiality.
- Ability to work on-site at the Amaracon Testing and Inspections, LLC office; this is not a remote position.
Job Type: Full-time
Pay: $60,000.00 - $85,000.00 per year
