The Office Manager works closely with administration, office staff, teachers, students, and families to create a welcoming, organized, and solutions-oriented environment. This position is responsible for fostering strong communication, supporting daily school operations with professionalism and consistency, and contributing to a positive school culture built on teamwork, reliability, and service to others.
Job Summary:
Alturas Academy is seeking a highly organized and proactive Office Manager to oversee and coordinate the day-to-day administrative operations of the school. This role is critical to ensuring smooth, efficient, and compliant functioning across all non-instructional areas, including office management, human resources support, scheduling, compliance, records management, and coordination with faculty, staff, and parents. The Office Manager plays a vital role in supporting the school’s mission of delivering a high-quality, student-centered education.
Key Responsibilities:
Expected Hours*:
Mid-August to Mid-June: M-Th 8-5, occasional Friday
Mid-June to Mid-August: Flexible hours, less than 10 total hours per week
- During the initial training period, hours may begin as closer to 30-40 hours per week and become closer to 10-20 hours until Mid-August
Office & Operations Management:
- Oversee the daily operations of the front office.
- Serve as the primary point of contact for internal and external communication.
- Maintain office systems, records, supplies, and inventory.
- Handle and process purchase orders, invoices, credit card statements, etc.
- Ensure a welcoming and professional environment for students, staff, families, and visitors.
Human Resources Support:
- Track employee attendance and leave requests.
- Assist with maintaining staff records
- Assist with compliance with school, state, and federal employment regulations.
School Compliance & Records:
- Manage and maintain accurate student records in accordance with FERPA and other legal requirements.
- Support reporting and compliance tasks required by the Idaho State Department of Education and the school board.
- Ensure timely submission of data and reports, including enrollment, attendance, and testing coordination.
Communication & Scheduling:
- Coordinate school-wide communications, including newsletters, announcements, calendars, and parent notifications.
- Manage scheduling of events, meetings, and use of school facilities.
- Support coordination of special events and school programs (e.g., testing days, parent-teacher conferences, enrollment events).
Student Information Systems & Software Management
- Oversee student information systems and maintain accurate student and attendance records.
- Support enrollment, reporting, and data collection processes.
- Learn, implement, and manage schoolwide software tools and digital systems with minimal oversight.
Qualifications:
- Associate or Bachelor’s degree in Business Administration, Education, or a related field preferred.
- 3 years of experience in school or office administration, with supervisory experience preferred.
- Strong organizational skills and attention to detail.
- Excellent written and verbal communication skills.
- Proficiency in office software (Google Workspace, Microsoft Office, etc.) and student information systems (SIS experience preferred).
- Ability to manage multiple priorities in a fast-paced school environment.
- Knowledge of school compliance requirements and recordkeeping standards is a plus.
- Must pass a background check and meet all legal requirements for employment in a public school.
