Job Summary
We are seeking a dynamic and detail-oriented IT Service Coordinator/Project Manager to lead and coordinate complex IT initiatives across enterprise environments. In this role, you will oversee the planning, execution, and delivery of IT projects, ensuring alignment with organizational goals and IT governance standards. Your expertise will drive seamless project implementation, foster collaboration among cross-functional teams, and ensure the successful delivery of enterprise software solutions, infrastructure upgrades, and cloud computing initiatives. Duties
- Own the operational layer of project execution (scope intake, timelines, tracking, closeout).
- Ensure every project has a clear owner, defined scope, schedule, and communication plan.
- Communicate with customers on project details – Welcome email, scheduling details and project completion.
- Remove tracking, coordination, and follow-up burden from senior engineers.
- Standardize how projects are managed in Autotask or New System (status rules, required fields, accountability).
- Create visibility into asset status (checked in, in prep, ready, deployed).
- Coordinate scheduling to align equipment turnaround with upcoming deployments.
- Define and document handoffs between Ops and on-site/warehouse resources.
- Standardize scheduling and dispatch processes.
- Establish simple check-in/check-out and readiness confirmation standards.
- Assess and clarify service workflow from intake to resolution.
- Standardize scheduling and dispatch processes.
- Manage and help team with alerts, emails to ensure proper handling times
- Drive consistent Autotask usage (tickets, notes, time entry, status updates).
- Create and maintain SOPs and documentation (alerts, how-to guides).
- Serve as escalation lead for VoIP-related issues.
- Lead VoIP implementations from planning through go-live.
- Coordinate and manage deployment timelines and user onboarding.
- Train end users on RingCentral and CX Connect platforms.
- Act as the primary internal liaison for VoIP process improvement and documentation.
- Ensure VoIP customers are billed correctly while working with Accounting at AIS.
- Confirm proper SKUs, pricing, and system entry.
- Support education and certification tracking.
- Continue manageable 1:1 and review cadence.
- Encourage recognition, visibility, and accountability.
- Keep feedback structured but lightweight.
- Clarify engineering scope as we continue expanding MSP services.
- Identify top recurring ticket categories and project types to guide staffing and training.
- Ensure senior engineers focus on engineering, not coordination or status chasing.
Experience
- Proven experience managing complex IT projects within enterprise environments.
- Strong leadership skills with the ability to coordinate cross-functional teams in a fast-paced setting; excellent organizational skills for managing multiple projects simultaneously.
- Demonstrated expertise in project scheduling tools.
- Technical proficiency with cloud computing platforms such as AWS; familiarity with IT infrastructure components including databases (SQL & Oracle), disaster recovery procedures, and enterprise software systems.
- Strong communication skills for stakeholder engagement; ability to negotiate effectively across diverse teams and vendors.
- Experience supporting IT governance initiatives; familiarity with SharePoint documentation practices and Visio for process mapping.
- Knowledge of software development practices including test-driven development (TDD) and program management principles is highly desirable.
