Position Summary
The Administrative Assistant provides essential support to the Sheriff’s Office by performing general office and law enforcement administrative functions. This role involves handling public inquiries, monitoring communications, maintaining records in compliance with State and Federal regulations, and assisting law enforcement personnel with documentation and research.
This is an unbenefited position, averaging 20 hours per week, Monday–Friday during daytime hours. The position is intended to cover time when the full-time Office Manager is away, including lunch breaks, vacations, and other time off.
Starting Pay: $20.24 per hour
Key Responsibilities
- Enter and update incident reports for all calls received at the Sheriff’s Office.
- Monitor radio traffic for the Clay County Sheriff’s Office.
- Input civil, warrant, and traffic ticket information into the computer system.
- Maintain criminal and juvenile records in accordance with Federal and State guidelines, ensuring proper procedures for record keeping and release.
- Assist the Sheriff and Deputies with research, paperwork, reports, and correspondence.
- Enter and maintain records at State and National levels through the Teletype system, including:
- State Protection Order File
- State Warrant File
- NCIC (Nationwide Wanted Persons File)
- State case entries for burglaries and other criminal activity
- State pistol permits
- Perform bookkeeping duties, including billing and collecting fees (civil process, prisoner boarding, work release, reports), dispersing funds to appropriate agencies, and maintaining the office trust account.
- Prepare and submit monthly crime reports to the National Crime Reporting System.
- Maintain and update the Sex Offender Registration listing as required by State statute.
- Respond to public inquiries and complaints or refer to appropriate personnel/agencies.
- Ensure regular maintenance and care of office equipment.
Employment Standards
- Excellent verbal communication skills; ability to interact effectively with the public and other agencies in person and by phone.
- Ability to make quick, accurate decisions in emergency situations.
- Proficiency in operating radio, teletype, and standard office equipment.
- High school diploma required.
