General Summary:
The Proposal Coordinator plays a key role in supporting Alta's Geotechnical and Construction Materials Testing (CMT) teams by creating, organizing, and submitting client proposals. While the role will primarily support Geo/CMT, this position will also coordinate with Survey, Civil, and Environmental teams to help develop joint proposals for multidisciplinary opportunities.
This position monitors estimating emails, bid forums, and client communications to help identify opportunities, coordinate proposal and budget needs, and keep proposal activity moving forward. The role also supports Alta's Marketing and Business Development teams with proposal-related coordination, client follow-up, and organized pursuit support.
Primary Duties and Responsibilities:
- Prepare, organize, and submit client proposals primarily for geotechnical and CMT opportunities, with support for Survey, Civil, Environmental, and other multidisciplinary pursuits as needed.
- Monitor estimating email inboxes, bid forums, and client opportunity portals for proposal requests, addenda, deadlines, and updates.
- Coordinate with Project Managers, Professional Engineers, Geologists, estimators, and technical staff to gather scope information, pricing inputs, schedules, and supporting content.
- Track proposal status from initial request through submission, client follow-up, signed proposal receipt, and handoff for awarded work.
- Follow up with clients regarding submitted proposals, pending signatures, proposed work, and next steps.
- Edit, format, proofread, and assemble proposal documents for consistency, accuracy, branding, and quality.
- Maintain proposal calendars, opportunity trackers, estimating communication logs, and internal deadlines.
- Organize and maintain proposal templates, project descriptions, resumes, certifications, and commonly used proposal materials.
- Support Marketing, Business Development, and technical staff with proposal-related coordination, client communication, pursuit tracking, and administrative follow-through.
Job Qualifications:
- Associate's or Bachelor's degree in Marketing, Communications, English, Business Administration, or a related field preferred.
- Two (2) or more years of experience coordinating proposals, marketing, or administrative support in the engineering, architecture, construction, or professional services industry preferred.
- Experience responding to public agency RFQs/RFPs is highly desirable.
- Valid driver's license with an acceptable driving record.
