The Project Assistant provides confidential, efficient, and high ‑ quality administrative and operational support to the Project Manager and project team. This role is critical in ensuring effective time management, communication, organization, and smooth day ‑ to ‑ day project operations
Project & Administrative Support
- Create and track purchase request (PR) and ordering material (PO)
- Liaise regularly with the project team to gather information for the Project Manager
- Compile and prepare reports for project reviews
- Prepare meeting agendas, take minutes, and follow up on action items
- Provide support in the preparation of presentations (PowerPoint)
- Organize meetings, including room bookings, equipment, and refreshments
- Act as a reliable point of contact for customers, building strong working relationships at all levels
- Manage emails and telephone calls, including responding on behalf of the Project Director when appropriate
- Manage day‑to‑day office operations including reception of visitors, room allocation, post, invoices, and lunches
- Receive incoming materials and manage warehouse‑related coordination
- Support onboarding of new team members
- Arrange travel logistics including flights, hotels, and visas
- Manage expense reports using company e‑tools
- Support document administration (DA) and follow up on invoice payments
