Overview
We are seeking a detail-oriented and proactive Service Coordinator to support the day-to-day operations of our service department within a fast-paced security services environment. This role is critical to ensuring efficient scheduling, accurate documentation, seamless vendor coordination, and timely service delivery to clients.
The ideal candidate is highly organized, communicates effectively across teams, and can manage multiple priorities while maintaining accuracy and accountability.
Key Responsibilities
- Coordinate daily service operations, including scheduling technicians and managing service tickets
- Maintain and track service requests from initiation through completion, ensuring timely resolution
- Review and verify Bill of Materials (BOM) to ensure accuracy of project components and service needs
- Prepare and submit purchase orders; support procurement processes and vendor coordination
- Manage shipping and receiving logistics, including tracking inbound and outbound materials
- Maintain accurate records of service communications, documentation, and ticket statuses
- Serve as a liaison between internal teams, field technicians, vendors, manufacturers, and clients
- Oversee vendor relationships, including contract tracking, performance monitoring, and price coordination
- Support inventory control processes and coordinate material distribution to field technicians
- Align delivery schedules with service timelines to ensure project efficiency
- Assist with billing processes by preparing service ticket data for invoicing
- Ensure all service-related documentation is properly logged, filed, and maintained
Qualifications
- Proven experience coordinating service operations, preferably in security, field service, or a related industry
- Strong understanding of BOM (Bill of Materials) and project component verification
- Experience with purchase orders, procurement, and vendor management
- Familiarity with shipping/receiving and inventory control processes
- Excellent organizational and multitasking skills with strong attention to detail
- Strong written and verbal communication skills
- Ability to work cross-functionally with internal teams and external partners
- Proficiency with service management systems, ticketing tools, and Microsoft Office
Preferred Qualifications
- Experience in a security systems, low-voltage, or field service environment
- Background supporting billing or invoicing processes
- Experience managing vendor contracts or supplier relationships
