About the Role:
The Fire & Contents Coordinator is responsible for coordinating the contents portion of residential and commercial restoration projects involving fire, smoke, water, and mold damage. This role serves as the primary point of contact for customers regarding their personal belongings while coordinating pack-outs, inventories, cleaning, storage, and the return of contents throughout the restoration process.
In addition to managing contents restoration projects, this position plays an important role in daily office operations by answering incoming calls, entering new losses, dispatching jobs to production teams, coordinating schedules, and maintaining accurate job documentation. The ideal candidate is highly organized, customer-focused, and enjoys working in a fast-paced environment where no two days are the same.
Minimum Qualifications
- High school diploma or GED required.
- Previous office administration, customer service, estimating, or coordination experience preferred.
- Excellent verbal and written communication skills.
- Strong organizational and multitasking abilities.
- Proficiency using Microsoft Office and computer software.
- Ability to prioritize multiple projects while maintaining attention to detail.
- Experience in the restoration, construction, insurance, or property management industry is a plus.
Preferred Qualifications
- Experience using Xactimate, WorkCenter, MICA, Alacrity, or similar restoration software.
- Previous dispatching or scheduling experience.
- Experience working with insurance claims or restoration job documentation.
- Bilingual (English/Spanish) is a plus.
Responsibilities
- Serve as the primary point of contact for customers regarding contents restoration projects.
- Coordinate pack-outs, inventory, cleaning, storage, and pack-back services.
- Maintain communication with customers throughout the restoration process.
- Answer incoming calls and accurately enter new loss assignments (FNOL) into company software.
- Dispatch new jobs to production teams and assist with scheduling and on-call coordination.
- Monitor job progress and communicate scheduling updates with customers and internal staff.
- Maintain complete and accurate electronic job files, including photos, inventories, customer communications, and project documentation.
- Coordinate with Production Managers, Estimators, Project Coordinators, and Office Staff to ensure projects remain organized and on schedule.
- Assist with tracking Work-in-Progress (WIP) jobs and supporting daily office operations.
- Perform other administrative and coordination duties as assigned.
