Job Summary
We are a high-volume, fast-paced MRI center specializing in personal injury (PI) cases seeking an exceptional Front Office Manager to lead and optimize our front desk and patient intake operations.
This is not a passive administrative role. You will be responsible for driving performance, enforcing systems, and managing a high-output team in an environment where speed, accuracy, and accountability directly impact revenue and patient experience.

Key Responsibilities
Operations & Throughput
- Oversee all front office functions across one or more locations
- Ensure maximum daily patient throughput with minimal delays
- Maintain strict control over scheduling accuracy, confirmations, and patient flow
- Identify bottlenecks and implement immediate corrective action
Team Leadership
- Manage, train, and discipline front desk staff and schedulers
- Enforce performance standards, accountability, and productivity targets
- Conduct daily performance reviews (KPIs, output, error rates)
- Build a culture of urgency, professionalism, and precision
Patient Intake & Documentation
- Oversee PI-specific workflows including liens, assignments, and intake forms
- Ensure all documentation is complete, compliant, and audit-ready
- Maintain strict standards for data entry accuracy (patient demographics, accession numbers, case info)
Communication & Coordination
- Act as primary liaison between front office, technologists, billing, and management
- Handle escalated patient or attorney-related issues professionally and efficiently
- Ensure all emails, calls, and patient inquiries are handled promptly and correctly
Systems & Process Enforcement
- Enforce internal SOPs, checklists, and workflows without exception
- Monitor email queues, scheduling pipelines, and confirmation systems
- Continuously improve efficiency and eliminate waste
Qualifications
- 3 years of front office or operations management experience (medical setting strongly preferred)
- Experience in high-volume environments (imaging center, urgent care, PI practice, or similar)
- Strong understanding of personal injury workflows (preferred)
- Proven ability to manage staff performance and enforce accountability
- Exceptional organizational skills and attention to detail
- Ability to handle high pressure, high workload environments without loss of accuracy
- Strong communication and leadership skills
