We are hiring: Administrative Support - Alpha House

Starting Wage

  • Salary: The starting salary for this position is $16.00-$18.00/hour, DOE.

Training

  • Orientation: Alternatives provides thorough orientation and training for all new staff. You can expect a one-week orientation, where you will learn all about Alternatives and be prepared for your role. This first week is scheduled from 9 AM to 5 PM at our Alternatives Training Center.

Skills and Qualifications:

Education: High school diploma or equivalent.

Experience: Minimum of two years in a secretarial, administrative assistant, or related office role.

Office & Technical Skills:

  • Proficient in Microsoft Office programs.
  • Familiar with office equipment (copiers, fax machines, multi-line phone systems).
  • Typing speed of at least 45 words per minute.

Communication Skills: Strong writing, spelling, and verbal communication abilities.

Organizational & Multitasking Abilities:

  • Capable of handling multiple duties simultaneously.
  • Strong organizational skills.

Other Requirements: Valid Montana driver’s license, Ability to pass federal drug test and background check.

About the Team

The Administrative team at Alpha House is led by an experienced supervisor who is excited to have you join the team! You will work along a small team of other Administrative Support members who help streamline the administration department with day-to-day tasks, paperwork, forms, and other clerical needs.

What Will You Do in This Position?

  • Manage Community Treatment Service intake processes and ensure accurate documentation.
  • Monitor inventory and stock supplies as needed.
  • Maintain and update standard operating procedures and forms as needed.
  • Prepare and submit reports accurately and on time.
  • Record and maintain meeting minutes on a rotating basis.
  • Handle property disposition according to policy.
  • Complete assigned audits to ensure compliance.
  • Process and maintain forms and re-stock of forms/packets.
  • Maintain secure filing systems for sensitive documents.
  • Perform mass uploads and ensure accurate digital recordkeeping.
  • Manage visitor logs and security protocols.
  • Process monetary dispositions per policy.
  • Coordinate and document employer feedback surveys.
  • Handle large-scale document uploads efficiently.

PTO

  • Accrual: Start accruing PTO from your first paycheck. Full-time (40-hour) employees with 0-2 years of employment accrue 4.65 hours per pay period, totaling 15 days a year.
  • Increased Accrual with Tenure: Accrual rates increase at 3 years, 5 years, and every subsequent 5-year mark, up to 25 years.
  • Pro Rata Basis: Accrual rates for employees working 20-30 hours per week are on a pro rata basis.

Paid Holidays

  • Full-Time Employees: Enjoy 11 paid holidays.
  • Part-Time Employees: Employees working 20-30 hours per week also receive paid holidays on a pro rata basis.
