Duties
- Greet visitors, clients, and staff with professionalism and warmth, creating a positive first impression
- Answer multi-line phone systems promptly and courteously, directing calls accurately and efficiently
- Manage front desk responsibilities including scheduling appointments, maintaining calendars, and handling incoming correspondence
- Perform data entry, filing, and document proofreading to ensure accuracy and organization of records
- Utilize computer skills with Microsoft Office, Google Workspace, and other office management software to support daily operations
- Assist with bookkeeping tasks using QuickBooks or similar accounting software when needed
- Support administrative tasks such as photocopying, faxing, mailing, and managing office supplies
- Maintain a clean and organized reception area while adhering to office protocols for confidentiality and security
Experience
- Proven experience in office administration or clerical roles, preferably as a receptionist or personal assistant
- Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace tools
- Excellent phone etiquette with experience handling multi-line phone systems in a professional setting
- Demonstrated organizational skills with the ability to prioritize tasks effectively and manage time efficiently
- Previous experience in healthcare or dental reception is a plus, including familiarity with medical or dental office procedures
- Experience with data entry, filing systems, proofreading documents, and basic bookkeeping using QuickBooks or similar software
