The CRM & Marketing Automation Specialist is responsible for maintaining and optimizing the organization’s CRM infrastructure, ensuring accuracy, consistency, and integrity of all data within the system. This role oversees segmentation, attribution, tagging structures, and lifecycle workflow development to support comprehensive lead management, patient retention, and reactivation efforts. It serves as a key resource for CRM functionality, data organization, and automation processes across the organization.
CRM & Data Infrastructure
●Maintain CRM data integrity, including list hygiene, tagging structure, segmentation logic, and overall data quality.
●Manage and monitor CRM platform settings, integrations, and system performance to ensure operational reliability.
●Oversee CRM-to-agency data workflows to ensure alignment, accuracy, and timely exchange of information.
Automation & Workflow Development
●Develop and maintain automated nurture campaigns, lifecycle journeys, and internal operational workflows.
●Create and optimize processes that support lead conversion, patient retention, and reactivation activities.
●Conduct performance analysis, attribution reviews, and funnel assessments to recommend workflow or process enhancements.
Cross-Functional Collaboration
● Collaborate with the Chief Growth Officer, call center leadership, and other internal stakeholders to improve appointment throughput and workflow adoption.
●Partner with operational teams to identify and implement CRM-driven efficiencies that enhance accuracy, speed, and the overall patient experience.
Key Performance Indicators (KPIs)
●Improvement in lead and patient conversion attributed to automated workflows and lifecycle efforts.
●Accuracy and consistency of CRM data, including segmentation and tagging performance.
●Adoption and effectiveness of workflows, including measurable gains in operational efficiency and speed-to-lead.
Required
● Bachelor’s Degree in Marketing, Business Administration, Information Systems, Communications, Computer Science, or a related field.
● Proficiency with CRM or automation platforms such as HubSpot, ActiveCampaign, Salesforce, Klaviyo, or comparable systems.
●Demonstrated understanding of customer lifecycle strategy, nurture funnels, and attribution concepts.
●Ability to build and manage automations, create audience segments, and interpret CRM funnel data.
● Strong written and verbal communication skills, with the ability to document processes and collaborate effectively across teams.
Preferred
● Experience working within healthcare, multi-location operations, or other high-volume consumer environments.
● Knowledge of data compliance requirements, tagging architecture, and CRM reporting standards.
