Part-Time Prosecution Administrative Assistant
$25/hr.
10 hours per week with a flexible schedule to be determined upon hire.
SUMMARY
Under the direct supervision of the Attorney Prosecutor, performs a variety of clerical and administrative tasks in support of the department Attorney Prosecutor. Makes independent judgments in prioritizing work and selecting the most appropriate course of action within established operating procedures, guidelines, and priorities. Work consists of broad functions and processes of an administrative character. Activities are often involved and complex.
ESSENTIAL DUTIES & RESPONSIBILITIES

- Manages case files, schedule meetings and court appearances.
- Prepares correspondence and basic documents.
- Serves as a point of contact for internal and external inquiries.
- Answers and logs phone calls.
- Distributes any requested or necessary forms, reports, or other documents needed by other employees, prosecutors and defense attorneys.
- Receives incoming phone calls and assigns them to the appropriate division or person within the agency, or takes messages as appropriate relating to the duties of a Attorney Prosecutor.
- Prepares and submits all required forms to state agencies.
- Files all reports, logs, data, records, and videos, as directed by the Attorney Prosecutor.
- Performs all traditional receptionist duties for the Attorney Prosecutor.
- Provides referrals and general information to callers and walk-in customers.
- Performs miscellaneous typing of letters, reports, etc., from drafts.
- Occasional travel to court and other locations to drop off or pick up prosecution/court related paperwork or observe court with the Attorney Prosecutor.
- Performs such other duties as may be assigned by the Attorney Prosecutor.
MINIMUM QUALIFICATIONS
Education and Experience
- High school diploma or GED equivalent or a combination of education and experience.
- Minimum of one (1) years of responsible secretarial and clerical experience in an office setting.
- Experience with office equipment and basic computer functions.
- High degree of honesty, integrity, self-discipline, emotional stability and control; good judgment and common sense; self-motivated, and a positive attitude.
- Demonstrates a high degree of administrative creativity, loyalty and dedication.
Knowledge, Skills & Abilities
- Thorough knowledge of modern secretarial and office practices and procedures.
- Thorough knowledge of business English, spelling, arithmetic and legal terminology.
- Thorough knowledge of modern office equipment.
- Thorough knowledge of and proficiency in Adobe Acrobat and the use of Microsoft 365 operating system, including Outlook, Word and Excel.
- Knowledge of Town operations and organizations.
- Ability to multi-task and to prioritize work.
- Basic knowledge of and experience using social media.
- Basic problem-solving ability.
- Ability to stay calm in an emergency or other stressful situation.
- Ability to work independently.
- Ability to maintain administrative, fiscal, and general records and to prepare reports.
- Good oral and written communication skills.
- Ability to prepare effective correspondence and to perform office management details without referral to a supervisor.
- Ability to enter and retrieve data or information from a terminal, PC, or other keyboard device.
- Ability to maintain effective working relationships with coworkers, municipal employees, court officials and employees, prosecutors, police departments, the public defender's office, the general public, and to deal with the public pertaining to problems with the office of prosecution courteously and tactfully.
- Responsible with confidential information.
ADDITIONAL DESIRED QUALIFICATIONS
Associate’s degree or above. Familiarity with IMC, CSI, and/or other law enforcement software and programs. Prior experience in a legal or law enforcement environment.
