Position Summary
We're seeking a professional, organized, and service-oriented Administrative Assistant / Receptionist to serve as the first point of contact at Allied Residential's corporate office. In this role, you'll manage the front desk, assist portfolio managers and properties, and provide support to administrative team members and corporate staff. You'll play a vital role in keeping office operations running smoothly, handling a wide range of administrative tasks, and ensuring a welcoming and professional environment for visitors and employees.
Key Responsibilities
- Answer and route all incoming calls to the appropriate team members.
- Accept, sort, and scan all incoming mail to designated locations.
- Maintain conference room schedules and assist with meeting coordination.
- Compile and process orders for Office Manager review or purchase.
- Keep the breakroom stocked and organized.
- Create and post monthly company calendars.
- Prepare and distribute various reports to departments, properties, and ownership groups, including Monday Morning Reports, KCHA reports, and tracking logs.
- Assist with monthly, quarterly, and year-end financial statement processing and reporting.
- Prepare lender packages, owner requests, and budget materials as needed.
- Support year-end tasks including archiving files, creating new year files, and updating records.
- Provide administrative assistance to the President, Executive Team, and other departments as requested.
- Attend and participate in regular meetings and trainings.
Qualifications
- High school diploma or GED required; six months to one year of related experience preferred.
- Strong customer service skills with the ability to handle calls and visitors professionally.
- Excellent organizational skills with the ability to manage multiple tasks and deadlines.
- Proficiency in Microsoft Office Suite/Office 365, especially Outlook, Excel, and Word.
- Familiarity with remote work platforms, VPNs, and online security best practices; Yardi or RealPage experience highly preferred.
- Strong verbal and written communication skills, including professional phone etiquette.
- Basic math skills, including the ability to compute rates, ratios, and percentages.
- Ability to occasionally lift and/or move up to 30 pounds and work in a typical office environment.

- 152 hours (19 days) PTO annually, plus carry-over up to 120 hours and longevity PTO at 5 and 9 years
