Position Summary
The Rental Coordinator is responsible for overseeing day-to-day rental operations, including customer service, contract management, reservations, and rental inventory. Essential Duties and Responsibilities
The essential functions include, but are not limited to the following:
- Manage daily rental operations, including equipment inventory management and control
- Write contracts, make reservations, and maintain accurate rental records
- Provide outstanding customer service by addressing client inquiries and resolving issues promptly
- Perform administrative tasks such as data entry, front desk operations, and maintaining work areas
- Order parts, create purchase orders, and enter work orders into the system accurately and promptly
- Ensure compliance with equipment maintenance protocols to guarantee safety and reliability
- Collaborate with the marketing team to develop promotional materials for rental offerings
- Support business operations by fostering strong client relationships and ensuring rental efficiency
Minimum Qualifications (Knowledge, Skills, and Abilities)
- High school diploma or equivalent; associate degree or relevant coursework preferred
- Strong organizational and multitasking skills with attention to detail
- Excellent verbal and written communication skills; professional phone etiquette required
- Proficiency in Microsoft Office Suite, particularly Word and Excel
- Prior administrative or customer service experience preferred
- Ability to problem-solve, work independently, and collaborate effectively with team members
- Reliable, motivated, and able to manage fast-paced operational demands
Physical Demands and Work Environment
The Rental Coordinator role involves primarily office-based work with frequent use of computers, phones, and office equipment. The position may require occasional lifting of up to 25 lbs, bending, or reaching to manage inventory and supplies. Work is performed in an office and customer-facing environment with moderate noise levels.
