ESSENTIAL FUNCTIONS
The Service Administrator works with Account Managers, field personnel, customers, Project Managers, and office staff in a collaborative manner. This individual is expected to meet performance standards set by the department manager and comply with all company policies and procedures. The Service Administrator takes direction from the department manager to ensure staff efforts are coordinated and directed toward department and company goals.
The Service Administrator performs the following:
- Write and process quotes for field personnel, subcontractors, and project managers
- Assist department managers with special projects
- Pull service reports/history for internal and external use
- Research work order and site service history
- Book hotels for technicians
- Minor label permits ordering and processing
- Research and order hard to find parts online (eBay, etc.)
- Assist dispatch team with phone and dispatch coverage
- Assist reception with phone coverage
- File, organize and maintain all electronic records connected with above referenced tasks
- Participate in cross-training
- Learn basic trade vocabulary
- Evaluate and prioritize work on a continual basis
- Perform additional tasks as assigned
QUALIFICATION REQUIREMENTS
The candidate must possess the following abilities and skills:
- 3 Years previous customer service, admin assistant, or similar experience
- Previous data entry experience
- Knowledge of the HVAC industry (preferred)
- Excellent organizational and documentation skills
- Strong time management and prioritization skills
- High attention to detail
- Possess strong written and verbal communications skills
- Typing skills of at least 60 words per minute
- Intermediate level of knowledge of Microsoft 365; primarily Outlook, Word, and Excel
