Position Summary:
Under the general supervision of the Program Director, the Training Program Assistant supports the course instructor in delivering high-quality training programs by ensuring effective student communication, accurate grading, organized documentation, and a structured classroom environment. This role plays a critical part in maintaining operational excellence and a positive learning experience for all students.
This role will be working in Wicomico County!
Duties/ Responsibilities
- Serve as a primary point of contact for students regarding assignments, schedules, and course updates.
- Respond promptly to student questions and ensure clear communication throughout the training program
- Assist with student onboarding, orientation, accessing learning platforms and digital materials.
- Support data entry into student management systems.
- Monitor student progress and notify the instructor of performance concerns.
- Provide reminders regarding certification deadlines and exam scheduling.
- Assist with preparation and proctoring exams, ensuring testing materials are secured and handled according to policy.
- Prepare certificates and verify completion of required documentation before certificate issuance.
- Grade all student paperwork, quizzes, exams, and assignments in a timely and accurate manner.
- Conduct periodic audits of student files for completeness
- Ensures all required state, compliance, and regulatory documentation is collected, completed, and submitted.
- Support compliance readiness for inspections and audits.
- Monitor classroom supply inventory and notify leadership when materials need replenishment
- Assist with organizing training equipment and materials.
- Maintain confidentiality and integrity of all student records.
- Ensures all completed paperwork is properly filed and organized in accordance with institutional and regulatory standards.
- Assist with classroom setup, ensuring the training environment is organized, clean and prepared for instruction prior to each training session (materials, equipment, handouts, etc.)
- Support the instructor during lectures, skills demonstrations, and testing sessions.
- Track student participation and record daily class attendance accurately notifying the Instructor of any attendance concerns.
- Performs other duties as needed or assigned.
Qualifications and Education Requirements
- Must be at least 18 years of age
- High School Diploma or GED equivalent required
- Successful completion of a criminal background check
- Demonstrated ability to read, write, and follow written instructions and documentation
- Strong organizational and time management skills
- Excellent written and verbal communication skills
- Ability to always maintain confidentiality and professionalism
- Proficiency in basic computer applications (Outlook, Word, Excel, Google Classroom, Canva, etc.)
Preferred Qualifications and Education
- Associate degree in Education, Healthcare, Business Administration, or a related field
- 1–2 years of experience in administrative support, education support, training programs, healthcare, or a related field
- Experience using Microsoft Office and Google Workspace platforms
- Experience with data entry, student records management, or document control systems
