The People Operations Manager is responsible for supporting the People Operations team by auditing payroll and benefit information, processing biweekly payroll, assisting with recruiting/onboarding, and coordinating all payroll and benefit processes performed in the company. In addition, this associate is responsible for administering day to day activities of the company's group benefits programs (medical, dental, vision, short-term disability, long term disability, life insurance, flexible spending plans, health savings plans and 401k). Under the guidance of the People Operations Leadership, the Associate in this role serve as liaison with our candidates, associates, payroll/benefit providers, and other third-party vendors as necessary, ensuring compliance with all federal, state, and local laws.
What You'll Do:
- Working with minimal supervision, process payroll and bonuses on a biweekly basis including running regular payroll reports and auditing for accuracy. Following a closed payroll, uploading eligibility and remittance files with accuracy.
- Complete data entry, including but not limited to, timecards, reclasses, organization changes, benefit updates, and accounting updates into the payroll/benefits system; ensure that data is entered correctly.
- Process termination checks incompliance with the Company's policies and procedures.
- Complete garnishments and National Support orders and ensure compliance with all garnishment requests for each state.
- Host requisitions on the internal and external company portal and advertise jobs on external sites as requested.
- Provide customer service to associates with issues related to payroll and benefits, including but not limited to, compensation, bonuses, vacation, timecards, and sick time accruals.
- Maintain updated materials and communications regarding plan options/processes on internal communication outlets, such as benefits home page, and source material as needed.
- Monitor and oversee new hire eligibility, status change eligibility, life events, recruiting/onboarding, and new hire training notification processes.
- Manage pre-hire screening process for all candidates for employment, including but not limited to communicating with candidates regarding drug test and background screen results.
- Administer, under guidance of People Operations Leadership, company benefits programs such as medical, dental, vision, COBRA, short-term disability, long-term disability, life/accidental death & dismemberment, flexible spending accounts, health savings accounts, wellness program and 401(k), etc.
- Provide full cycle leave of absence administration, including disseminating information to associates and manager, tracking leaves and status changes needed to fully manage leaves of absence under the FMLA, PDA CFRA and similar laws.
- Responsible for complete filing of paperwork and assist with maintenance of benefit files for associates.
- Perform billing reconciliations and payment of vendor invoicing and communicate when issues or discrepancies arise.
- Update, compile, audit, and process reports as needed or deemed necessary by People Operations Team.
- Assist with annual projects and implementations including but not limited to open enrollment, year-end, and new system modules.
Other Duties
- Supervise and direct activities of the Office Services Executive Administrator.
- In addition to supervising the Office Services Executive Administrator, if she/he is unable to complete the daily office duties, this position will be required to complete them.
- Contribute to the improvement of departmental procedural workflow processes of using continuous improvement methodologies, which include eligibility and enrollment processes, vendor performance monitoring.
- Make recommendations and modifications regarding office performance, business needs, etc.
- Any other tasks assigned or directed.

- Ability to have flexibility with working schedule based on business and deadline needs.
- Ability to work a schedule during normal work hours and that maybe other than Monday-Friday, 8-5. Work in excess of 40 hours per week is likely.
- Consistent, regular and in person attendance during regular working hours at the workplace is required.
