Key Responsibilities:
- Front desk management
- Greet and welcome visitors, clients, and vendors with professionalism and warmth.
- Manage all incoming calls, emails and correspondence, ensuring prompt and accurate responses.
- Maintain a clean and organized reception area.
- Provide administrative assistance to property management and maintenance teams, including scheduling meetings, preparing documents, and managing calendars.
- Organize and maintain electronic and physical files for contracts, invoices and maintenance records.
- Assist with data entry, reporting, and tracking of property management and maintenance activities.
- Order and maintain office supplies, ensuring inventory is stocked and well-organized.
- Liaise with vendors, contractors, and service providers to coordinate office maintenance and services.
- Serve as a liaison between property managers and tenants, addressing work orders and concerns promptly.
- Assist in distributing notices, processing applications, and coordinating tenant move-ins and move outs.
- Support event planning, marketing efforts, and team-building initiatives as needed.
- Collaborate on process improvements to enhance operational efficiency.
- Proven experience as a receptionist, administrative assistant, or similar role (preferably in real estate or construction).
- Excellent verbal and written communication skills.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and familiarity with Buildium or similar property management software is a plus.
- Exceptional organizational and multitasking abilities.
- High School Diploma or higher-level education.
