Job Summary
The Data Entry Specialist and Scanner position is responsible for the secure, accurate, and timely processing of lockbox payments from receipt through data entry. This position receives, sorts, and distributes incoming mail for lockbox processing, prepares documents for scanning, and accurately key remittance and payment information from scanned lockbox documents. The role is essential to ensuring the efficient processing of customer payments while maintaining compliance with quality standards, security requirements, and service-level agreements (SLAs). Success in this position requires strong attention to detail, excellent organizational skills, the ability to work in a fast-paced environment, and a commitment to accuracy, confidentiality, and teamwork.

Hours of Operation:
- Monday through Thursday from 2:30pm to 6:30pm
- Possibility for more hours during peak times.
Duties
- Oversee and support lockbox processing operations, ensuring accurate, timely, and secure handling of customer payments, remittances, and related documentation.
- Sort, open, and batch customer remittances and correspondence according to client-specific instructions and processing requirements.
- Operate mail processing equipment, including the OPEX Rapid Extraction Desk Mail Opener and scanning equipment, to prepare documents for electronic processing.
- Prepare mail and documents for scanning while ensuring proper handling, organization, and quality standards are maintained.
- Support the lockbox data entry team by ensuring accurate and efficient entry of payment information from scanned images or physical documents.
- Perform data entry duties as needed during peak periods or to provide team coverage.
- Provide coverage and support for cash processing, credit card processing, end-of-day procedures, and bill payor processes during absences or high-volume periods.
- Ensure compliance with data privacy requirements, banking regulations, client confidentiality standards, and company security procedures.
Education & Experience:
- High school diploma or GED required; associate degree or equivalent experience preferred.
- 2–4 years of experience in a lockbox, payment processing, or data entry environment.
Skills & Competencies:
- Proficient in numeric (10,000 kph with 95% accuracy) and alpha (55 wpm with 95% accuracy) data entry with high accuracy and speed.
- Strong attention to detail and quality control.
- Proficient in Microsoft Office Suite
- Efficient communication, time management, and problem-solving skills.
- Comfortable working in a secure, structured environment with flexible scheduling (early mornings, afternoons, weekends, and holidays, as needed).
