The Supply Clerk – Equipment & Parts ensures that AIS mechanics have the correct repair and maintenance parts available at the right time and on time, eliminating delays and maximizing field productivity. This office-based role manages parts procurement, vendor coordination, inventory tracking, and logistics support for both in-house maintenance operations and repairs performed at external shops. This is a non-supervisory position with no authority to perform repairs, prioritize maintenance work, or manage administrative tracking systems.

ESSENTIAL DUTIES AND RESPONSIBILITIESParts Procurement & Coordination
- Order parts and supplies based on requests from mechanics or the Field Logistics Coordinator
- Coordinate pickups, deliveries, and vendor communication to ensure timely parts availability
- Track order status from placement through receipt and confirm delivery against work requirements
- Liaise with external repair shops to coordinate parts delivery, repair status updates, and return logistics
- Maintain adequate stock levels of critical parts, consumables, and commonly used supplies
- Monitor inventory levels against established reorder thresholds using fleet/inventory management systems (e.g., Fleetio)
- Organize and maintain parts storage areas to ensure accurate labeling, accessibility, and cleanliness
- Conduct regular physical inventory counts and reconcile against system records
- Perform parts runs to vendors, suppliers, and repair facilities as operationally required
- Ensure parts are staged, labeled, and ready ahead of scheduled maintenance and repair work
- Coordinate with vendors and external repair shops regarding timelines, warranty items, and returns
- Communicate parts availability and estimated arrival times to mechanics and the Field Logistics Coordinator
To maintain clear operational boundaries within the maintenance function, this position does not:
- Perform, assist with, or direct equipment repairs or mechanical work
- Prioritize, schedule, or assign maintenance work orders
- Manage administrative tracking systems, generate maintenance reports, or oversee work order documentation
- High school diploma or GED; Associate degree or vocational training preferred
- 13 years of experience in parts procurement, supply chain, inventory management, or a related field
- Familiarity with fleet, equipment, or automotive parts and supply vendors
- Basic proficiency with Microsoft Office Suite (Excel, Word, Outlook) and inventory/fleet management systems
- Valid driver’s license with a clean driving record and reliable transportation for parts runs
- Ability to pass background check and, where applicable, drug and alcohol screening
- Experience with fleet management or CMMS software (e.g., Fleetio, eMaint, or similar)
- Background in heavy equipment, construction, disaster response, or debris removal industries
- Established relationships with regional parts vendors and supply distributors
- Must be legally authorized to work in the United States and able to provide documentation establishing identity and employment eligibility as required by Form I9, without sponsorship
- Highly organized with the ability to manage multiple open orders and inventory items simultaneously
- Strong coordination and followthrough skills to ensure parts arrive on time and as requested
- Responsive and proactive in identifying and resolving supply gaps before they impact operations
- Effective communicator with vendors, repair shops, and internal team members
- Physically capable of lifting and moving parts and supply items up to 50 pounds
- Comfortable working in a fastpaced, fieldsupport environment with shifting priorities
- Primarily officebased with regular travel to vendors, suppliers, and external repair facilities
- Frequent lifting, carrying, and staging of parts and supplies up to 50 pounds
- Driving required for parts runs; valid driver’s license must be maintained throughout employment
- May work extended hours during active disaster response activations or hightempo operational periods
- Exposure to shop, warehouse, and outdoor environments during parts staging and delivery activities
