Community Outreach Specialist Admin Assistant
Hours: Part Time (16-20 hours/week)Salary Range: $19.50 – $21.00/hour

Organization:The Alliance for Suicide Prevention of Larimer County (ASP) is a 501(c)(3) nonprofit focused on preventing suicide through education, training, community engagement, and postvention support. ASP provides youth and adult suicide prevention education, grief support, and community outreach services across Larimer County.
Job Overview
The Administrative Assistant Suicide Prevention Specialist provides administrative, logistical, and operational support to ensure ASP’s programs, staff, and board function efficiently. This role combines internal administrative coordination with participation in ASP’s suicide prevention outreach and education efforts.
Responsibilities include managing communication systems, scheduling and coordinating programs and meetings, supporting donor and fundraising operations, assisting with marketing and outreach materials, and maintaining organizational systems that support ASP’s daily operations.
In addition to administrative duties, this position supports ASP’s suicide prevention programming by assisting with youth trainings, community outreach events, tabling, and lethal means safety initiatives. The role represents ASP in a professional and positive manner and contributes to a collaborative and healthy workplace culture.
Core Focus Areas
1. Administrative Operations & Organizational Support (~45%)
- Maintain and update organizational subscriptions, services, and registrations.
- Manage incoming phone calls and voicemail.
- Monitor and route incoming community emails to appropriate staff members.
- Maintain organizational systems including staff files, meeting minutes, and administrative documentation.
- Support scheduling and coordination of meetings, tabling events, and community outreach opportunities.
- Assist with paying invoices and maintaining administrative financial documentation.
- Order and manage office supplies and training materials.
- Support overall office organization and maintain shared spaces.
2. Fundraising, Donor Support & Event Assistance (~20%)
- Support annual gala planning and logistics.
- Assist with donor communication and stewardship including thank-you cards and donor correspondence.
- Manage donor records and updates in systems such as GiveSmart.
- Assist with fundraising logistics and documentation as needed.
3. Marketing & Communications (~15%)
- Assist with newsletters, event promotions, and marketing communications.
- Support creation and distribution of ASP promotional materials including posters, brochures, and business cards.
- Assist with social media coordination and updates.
- Help ensure materials reflect ASP’s current programs and branding.
4. Suicide Prevention Outreach Support (~15%)
- Assist with youth suicide prevention trainings in schools as needed.
- Support ASP tabling efforts and community outreach events.
- Participate in ASP events including the Teen Self Care Fair (TSCF) and annual gala.
- Support coordination and distribution of gun and medication safes as part of ASP’s lethal means safety work.
5. Team Culture & Organizational Participation (~5%)
- Participate in strengthening ASP’s collaborative team culture.
- Attend staff meetings and contribute to organizational communication.
- Support cross-team coordination when needed.
- Assist with additional duties that support ASP’s mission and operations.

Required Qualifications

- Bachelor’s degree preferred but not required
- Minimum of 2 years of experience in community outreach, administrative support, public health, social work, or related field (or equivalent lived experience)
- Ability to manage multiple administrative tasks simultaneously
- Comfort using AI tools to support efficiency and workflow; all external communications should reflect the organization’s voice and be thoughtfully reviewed before sending
