DESCRIPTION
The Virtual Shareholder Meetings team at Alliance Advisors is responsible for supporting the planning and execution of secure, compliant virtual and hybrid shareholder meetings. The team works closely with clients to replicate the experience of an in-person meeting while providing shareholders with secure, real-time access to attend, vote, and engage online.
From initial planning and meeting preparation through dry runs and day-of execution, the team manages the details necessary to deliver a seamless shareholder experience. This includes coordinating meeting technology, shareholder verification, secure voting, vote certification, and Inspector of Elections oversight while ensuring each meeting remains compliant and aligned with client objectives.
RESPONSIBILITIES
Serve as a key point of contact for clients throughout the meeting planning and execution process.
Coordinate meeting logistics, technology, shareholder verification, voting, and shareholder engagement requirements.
Conduct and coordinate technical dry runs to ensure all meeting systems and processes are prepared for live execution.
Work closely with internal teams, clients, technology providers, and other service partners to ensure seamless meeting execution.
Monitor meeting technology and shareholder participation during live meetings and promptly address issues as they arise.
Ensure meetings are conducted in accordance with applicable requirements and client-specific procedures.
Maintain detailed meeting documentation, timelines, and deliverables.
Provide proactive client support and communication throughout the engagement.
Identify opportunities to improve meeting processes, shareholder experience, and operational efficiencies.

Experience in shareholder meetings, proxy logistics, event management, or a related field preferred.
Salary : $65,000 - $75,000
