What You’ll Do:

- Corporate Office located in Northampton, MA - training begins at this location - must have reliable transportation.
Job Summary:
The Patient Service Representative (PSR) serves as the first point of contact for patients at the Allergy & Immunology office, ensuring a positive and efficient experience from checking-in, scheduling to check-out. The PSR operates the front desk operations, provides outstanding customer service, handles patient inquiries, coordinates appointments, and ensures accurate patient information and billing processes.
Key Responsibilities:
- Greet patients and visitors in a friendly, professional manner.
- Answer phones, respond to inquiries, and direct calls as necessary.
- Schedule, reschedule, and confirm patient appointments for allergy and immunology consultations, procedures, and follow-ups.
- Ensure Providers have full patient calendars.
- Effectively manage high-volume patient scheduling, including coordination of immunotherapy injections.
- Maintain a positive attitude throughout the day while demonstrating consistency in your approach and interactions.
- Ensure all patient information is accurate and complete during check-in, including verification of insurance and personal details.
- Collect co-pays, process payments, and issue receipts.
- Assist patients with completing necessary forms and documentation.
- Ensure smooth and timely patient flow through the office by managing the waiting area and coordinating with clinical staff.
- Verify insurance coverage and eligibility for scheduled services.
- Communicate with patients regarding insurance benefits, out-of-pocket costs, and co-payments.
- Submit and follow up on prior authorizations and referrals as needed.
- Assist with billing inquiries, payment plans, and resolving billing discrepancies.
- Maintain organized and up-to-date patient records in the electronic medical record (EMR IMS) system.
- Ensure confidentiality and security of patient information in compliance with HIPAA regulations.
- Assist with managing office supplies and inventory.
- Coordinate with other departments (e.g., lab, pharmacy) for patient care needs.
- Provide a welcoming environment and respond promptly to patient concerns or complaints.
- Facilitate communication between patients and medical staff.
- Educate patients on office policies, allergy testing procedures, and immunotherapy protocols as appropriate.
- Education: High school diploma or equivalent required; an associate degree in healthcare or a related field is preferred.
- Experience:1-2 years of experience in a medical office, preferably in an allergy/immunology or specialty practice setting.
- Experience with EMR systems and insurance verification is a plus.

Working Conditions:
- Full-time position with typical office hours (Monday-Friday).

- May occasionally require standing or walking to assist patients or handle office tasks.
