Position: Branch Services Specialist
Status: Full-Time / Hourly
Manager: Regional Vice President (RVP)
Location: Burlington (4 days/week) and Durham (1 day/week)
Position Summary:
We seek a dedicated and organized Branch Services Specialist to join our team. In this role, you will work closely with Branch Leaders to provide essential support to our real estate agents and ensure smooth and efficient operations within the branch. You will be responsible for various administrative, operational, and agent-focused tasks to improve branch efficiency.
Key Responsibilities:
Agent and Branch Support:
- Process agent onboarding, departures, and transfers
- Assist agents with their paperwork review and completion when onboarding
- Manage all affiliation paperwork
- Connect agents with various systems and support teams, including MTS, Mortgage LOs, and Insurance agents
- Manage branch supplies, equipment, and workspaces
- Maintain office calendars and manage floor duty schedules
- Assist with outgoing/incoming mail and phone call transfers
- Oversee office purchasing and maintain workroom supplies
- Coordinate branch logistics, including building maintenance, signage, and equipment
- Handle shredding services, tech support tickets, and office equipment troubleshooting
- Ensure proper functioning of office TV and bulletin boards
- Assist agents with transaction support, including earnest money and commission check deposits
- Provide troubleshooting support for agent tech needs (copiers, computers, phones)
- Manage lockbox check-in/check-out and troubleshoot ordering issues
- Process earnest money and commission check deposits
Branch Leader Support at Branch Leader’s direction:
- Assist in recruiting packages, managing branch social media posts, and organizing events
- Coordinate property tours, anniversaries, and monthly recognitions
- Maintain branch calendars and facilitate agent enrollment paperwork for TAP 3.0
- Organize and schedule agent one-on-ones and professional development activities
- Provide general administrative support to Branch Leaders
- Facilitate agent training, webinars, and Lunch & Learns
- Collect Family of Companies referrals and manage communication with FOC partners
Agent Services Support: (as requested)
- Offer Listing Launch and Luxury Listing Launch support for agents
- Coordinate photo shoots, staging, and MLS entry
- Manage MLS listings, photos, and input into SkySlope
- Assist with listing materials, including brochures, postcards, and website updates
- Help agents with database management and input for Google Contacts and Moxi Engage

Qualifications:
- Strong organizational skills and ability to manage multiple tasks
- Excellent communication skills with a customer-first attitude
- Ability to collaborate effectively with agents, Branch Leaders, and support teams
- Previous experience in a real estate or office management environment is a plus
- Proficiency in Google Business Suite and other office technologies
