Key Responsibilities
Project Coordination & Administration
- Support project managers and engineering teams with day‑to‑day project coordination
- Maintain organized project files, document control systems, and correspondence
- Track project deliverables, action items, and milestones
- Coordinate internal and external project meetings, including agenda preparation and meeting minutes
- Serve as a point of contact for routine project logistics and information requests
- Assist in developing and maintaining project schedules in coordination with project managers
- Developing and maintain resource allocation projections in coordination with project managers
- Track progress against baseline schedules and key milestones
- Monitor critical path activities and flag potential schedule risks
- Support schedule updates, progress reports, and recovery planning
- Assist with project budget setup, tracking, and monitoring
- Track labor hours, expenses, subcontractor costs, and commitments
- Support cost forecasting, cost‑to‑complete analysis, and variance tracking
- Assist with invoice reviews, pay applications, and change order tracking
- Prepare regular project status reports covering scope, schedule, cost, and performance
- Track and report cost and schedule variances and trends
- Support earned value metrics and performance indicators (as applicable)
- Assist with executive dashboards and internal management reporting
- Maintain change logs and assist with scope, cost, and schedule impact analysis
- Support documentation and processing of change orders and amendments
- Assist with identification and tracking of project risks and mitigation actions
- Track submittals, RFIs, shop drawings, permits, and revisions
- Support compliance with contract requirements, regulatory agencies, and funding programs
- Assist with construction closeout documentation, including as‑builts and final reports
- Utilize project management, scheduling, and ERP systems to maintain accurate project data
- Ensure data consistency across project controls, accounting, and reporting systems
- Help compile lessons learned and historical cost and schedule information
- Bachelor’s degree in Engineering, Construction Management, Project Management, Business, or a related field (or equivalent experience)
- 2–5 years of experience in project coordination, project controls, or cost/schedule support in engineering or construction
- Strong analytical, organizational, and documentation skills
- Proficiency in Microsoft Excel and project reporting tools
- Ability to manage multiple projects and deadlines in a fast‑paced environment
- Experience with civil, environmental, infrastructure, or construction projects
- Familiarity with project scheduling and controls systems (e.g., Deltek, MS Project, Primavera, Smartsheet, or similar)
- Exposure to earned value management (EVM) concepts
- Experience with public‑sector, DOT, utility, or grant‑funded projects
- CAPM, PMP, or project controls certifications (or interest in pursuing)
- Strong attention to detail and data accuracy
- Ability to interpret schedule and cost data and identify trends
- Clear written and verbal communication skills
- Collaborative approach when working with engineers, project managers, and accounting
