COURT REPORTER/ASSISTANT TO JUDGE

Department: Superior Court-Civil Division FLSA Status: Non-exempt

Classification/Level: B7 Date: 5/2023

Under the direction of the Judge, Civil Division, the Court Reporter/Assistant to Judge serves as a confidential executive-level administrative assistant and judicial assistant to the judge, recording courtroom proceedings and transcribing these proceedings pursuant to the Indiana Appellate Rules. The applicant filling this position will be employed as an employee-at-will.

Essential Functions

  • Responsible for recording and preserving courtroom proceedings and log notes, as well as identifying and storing all case notes and exhibits pursuant to Indiana Rules of Court and retention schedules.
  • Enters Court orders, findings, notices, letters, and related correspondence in state-wide software applications.
  • Responsible for accurate and timely transcription of court proceedings pursuant to Indiana Rules of Appellate Procedure.
  • Performs confidential executive-level administrative assistant and judicial assistant functions for the judge.
  • Interacts with other judges, elected officials, State Court Administration, Indiana Judicial Center, National Center for State Courts, and other court-related agencies.
  • Assists the public, answers telephone, returns calls, greets visitors, responds to questions, receives pleadings, correspondence, and accesses court case files.
  • Works irregular and extended hours for jury trial deliberations and meeting Court deadlines.
  • Performs back-up assistance to other court reporters for case event scheduling.
  • Performs all other duties as assigned.

Requirements

  • High School Diploma with additional specialized training in civil justice-related and/or paralegal
  • Comprehensive knowledge of court, trial rules, and local rules, including maintaining up-to-date information regarding all code and rule modifications
  • Ability to record all courtroom proceedings and transcription of cases pursuant to Indiana Rules of Appellate Procedure
  • Ability to troubleshoot courtroom hardware, including, but not limited to, audio and exhibit presentations and software FTR digital court reporting
  • Advanced organizational skills with the ability to work within a stressful and changeable environment, including meeting court deadlines and working extended and irregular hours as needed for jury trials
  • Strong computer skills with the ability to use Microsoft Office and other job-related software
  • Ability to use standard office equipment, including, but not limited to, printer, scanner, copier, fax, courtroom audio/visual presentation equipment, and telephone

Difficulty Of Work

The Court Reporter/Assistant to Judge performs work with well-established guidelines, but involving several variables when entering court orders, findings, notices, letters, and related correspondence into state-wide software programs.

Responsibility

The Court Reporter/Assistant to Judge applies standardized practices when recording and preserving courtroom proceedings and log notes. Work is reviewed for adherence to instructions and soundness of judgment.

Personal Work Relationships

The Court Reporter/Assistant to Judge maintains frequent contact with the Court and other County employees, other judges, elected officials, Division of State Court Administration, Indiana Judicial Center, National Center for State Courts, and other court-related agencies.

Working Conditions

The Court Reporter/Assistant to Judge works in a standard courtroom setting requiring frequent sitting with the ability to move around freely with some standing and walking, also involving some lifting up to twenty pounds, bending, and reaching overhead. Very frequent typing, including proofreading, attention to detail, monitoring equipment, and some detailed inspection, is required, with some exposure to infectious disease.
