Grocery-Center Store Support Specialist

Position Summary

The Grocery Center Store Support Specialist provides administrative, analytical, and operational support to the Grocery and Center Store Departments. This position is responsible for accurately processing, maintaining, analyzing, and communicating product, pricing, and promotional data to support the department’s day-to-day operations and overall business objectives.

The ideal candidate is highly organized, detail-oriented, and analytical, with strong communication and problem-solving skills. This role requires the ability to manage multiple priorities in a fast-paced environment, work independently with minimal supervision, and consistently maintain a high level of accuracy.

Essential Duties and Responsibilities

• Enter, maintain, and update Grocery and Center Store promotional data, product distribution databases, member store information, C&S account numbers, ownership information, and store addresses.
• Maintain accurate distribution lists and contact information for store members, vendors, brokers, C&S contacts, and internal employees, including adding new members and removing closed stores.
• Review, format, and distribute Key Category Reports, warehouse movement reports, and other reports to applicable store members, Category Managers, vendors, brokers, and business partners.
• Communicate special product opportunities to store members, collect and process orders, and prepare accurate Excel spreadsheets and distribution forms for submission to C&S.
• Verify item codes, UPCs, product descriptions, pricing, deals, allowances, quantities, ship dates, return dates, and store information for promotional and special opportunity submissions.
• Enter and maintain deals and allowances for special opportunities, including shippers and open-stock items, in the APS system based on applicable terms and promotional periods.
• Review C&S Exception Reports twice weekly, research delivery and product issues, and coordinate with C&S, vendors, brokers, and Category Managers to identify and resolve discrepancies.
• Track Grocery and Center Store distributions submitted through C&S to ensure orders are processed and delivered according to schedule; follow up on delays and communicate significant issues to store members.
• Coordinate seasonal candy programs, including distributing order books, compiling store orders, verifying product and pricing information, obtaining order codes, and submitting completed distributions to C&S for setup and cross-coding.
• Support the Spring Shipper Show, Summer Food Show, Opportunity Buys, and other merchandising programs by coordinating vendor and broker invitations, commitments, order forms, product setup, cross-coding, and distribution submissions.
• Review vendor and broker PowerPoint submissions and other promotional materials for accuracy and completeness, including UPCs, product descriptions, pricing, ship dates, return dates, and other required information.
• Verify show costs, pricing, costs, and allowances and work with vendors, brokers, C&S, and distribution partners to investigate and correct discrepancies.
• Coordinate and process special orders, ensuring accurate information, timely communication, and appropriate follow-up with store members, vendors, brokers, C&S, and internal departments.
• Respond to product-related inquiries and provide research, administrative, analytical, and project support to Merchandisers and Category Managers, including report preparation, data entry, document management, and special assignments.
• Perform other duties and special projects as assigned by management.

Qualifications

• High school diploma or equivalent required; Associate degree in Business, Marketing, Supply Chain, or a related field preferred.
• Minimum of 1–3 years of administrative, merchandising, grocery retail, or related experience preferred.
• Experience with retail pricing, promotions, or merchandising systems is a plus.
• Proficiency in Microsoft Office, particularly Excel, Outlook, Word and Power Point.
• Strong data entry skills with exceptional accuracy and attention to detail.
• Excellent organizational, communication, and time management skills.
• Ability to prioritize multiple projects in a fast paced environment while meeting deadlines.
• Strong problem-solving skills and the ability to work independently with minimal supervision.
• Ability to maintain confidentiality and handle sensitive business information.

Schedule:

• Standard operation hours are 8:30am – 5pm, Monday through Friday
