Duties
- Greet visitors warmly and professionally, ensuring a positive first impression at all times
- Answer multi-line phone systems promptly and courteously, directing calls accurately and efficiently
- Manage front desk responsibilities including scheduling appointments, handling mail, and maintaining visitor logs
- Perform data entry tasks using Microsoft Office and Google Workspace applications with high accuracy
- Maintain organized filing systems, both physical and digital, for easy retrieval of documents
- Support office management tasks such as calendar management, proofing correspondence, and coordinating meetings
- Assist with clerical duties including photocopying, faxing, and proofreading documents to ensure clarity and professionalism
- Provide excellent customer service support by addressing inquiries promptly and professionally
- Handle basic bookkeeping tasks using QuickBooks or similar software as needed
Experience
- Prior office experience or administrative support roles demonstrating strong organizational skills
- Proven experience in customer service or front desk operations with excellent phone etiquette
- Familiarity with multi-line phone systems and office management software such as Microsoft Office, Google Workspace, and data entry tools
- Bilingual abilities are highly desirable to serve diverse client needs effectively
- Experience with clerical tasks including filing, proofreading, calendar management, and document preparation
- Knowledge of medical or dental receptionist duties is a plus but not required
- Strong computer literacy combined with excellent time management skills to prioritize tasks efficiently
