All Things Financial is seeking a Client Services & Paraplanning Administrator to support our growing retirement planning practice. Position Overview
This role supports the firm in three key areas: Client Service, Operational Organization, and Administrative & Paraplanning Support. You will collaborate closely with our advisors to ensure a seamless client experience while handling essential back-office and planning tasks.
Primary Responsibilities
Client Service & Office Support
- Welcome and assist clients and visitors, ensuring a polished and professional experience.
- Manage incoming calls, emails, correspondence, and appointment scheduling.
- Maintain organized systems, records, and databases containing client, financial, and internal data.
- Oversee general office operations to ensure efficiency and compliance with firm procedures.
Administrative & Operations
- Prepare, submit, and track new account applications, transfer paperwork, and related documentation.
- Maintain tracking reports and proactively communicate status updates to advisors and clients.
- Support compliance by ensuring documents are accurately filed and securely maintained.
- Manage inventory of office supplies and coordinate ordering as needed.
- Prepare meeting materials, client service packets, and assist in event or meeting hospitality.
Paraplanning Support
- Assist advisors with gathering and organizing client financial information.
- Enter client data into financial planning software.
- Help prepare meeting summaries, account reviews, and plan updates.
- Generate basic planning reports and ensure accuracy of plan inputs.
- Maintain client files and documentation aligned with planning activities.
Preferred Experience & Qualifications
- Proficiency with Microsoft 365 (Outlook, Word, Excel, SharePoint).
- Strong attention to detail, accuracy, and follow-through.
- Friendly, professional demeanor with a genuine desire to serve clients.
- Experience in financial services, paraplanning, or administrative support is a plus.
- Hospitality or customer-facing experience also valued.
- Ability to work collaboratively in a small, team-oriented environment.
