Position Summary

We are seeking a detail-oriented and highly organized Project Accountant to join our team. The ideal candidate will be responsible for supporting the project management team and Controller in ensuring that all contracts and agreements are executed in accordance with company policies, industry regulations, and legal requirements. This role involves monitoring, reviewing, and maintaining compliance with contract terms throughout their lifecycle to mitigate risk and ensure smooth business operations.

Key Responsibilities

New Project Set Up: (Budget and SOVs)/Ongoing maintenance

  • Collaborate with project managers to develop a detailed and cost-effective budget.
  • Gather COI, Prelims, Bond requests, DCIP, CCIP (in conjunction with payables).
  • Contracts: Manage Prime Contract Change Orders, Subcontractor agreements, Subcontractor Change Orders

Cost Analysis: Perform cost analysis and track all costs to ensure effective and profitable progress.

  • Billing and Invoice Management: Prepare and process customer and subcontractor billing. Process customer invoices received from PMs with SOVs.
  • Subcontractor Agreement Review: Assist in reviewing subcontractor agreements to ensure they align with company policies, legal requirements, and project-specific terms and conditions. Identify and address any discrepancies or non-compliant clauses.
  • Compliance and Auditing: Track subcontractor performance and ensure compliance with contractual obligations, including deliverables, timelines, payment schedules, and safety or regulatory requirements. Assist with internal and external audits and provide necessary documentation and reports.
  • Document Management: Maintain accurate and up-to-date records of all subcontractor agreements, certifications, insurance documents, and compliance-related paperwork. Ensure proper documentation is collected, stored, and readily accessible for audits or regulatory reviews.
  • Collaboration with Internal and External Stakeholders: Work closely with internal departments (project management, accounting) to ensure subcontractor contracts align with project needs and compliance standards. Develop and maintain strong customer relationships, handle customer collection inquiries and correspondence, and ensure timely responses. Process customer lien releases.
  • Reporting and Tracking: Prepare reports on subcontractor performance, compliance status, and risk assessments.
  • Risk Identification: Assist in identifying potential risks or non-compliance issues related to subcontractor performance, including safety violations, delays, or failure to meet contractual terms, and help develop corrective action plans.
  • Training and Guidance: Provide training and guidance to internal teams and subcontractors on compliance-related topics, ensuring that subcontractors understand their obligations.
  • Audit Support: Help coordinate internal audits or inspections related to subcontractor compliance, ensuring that all relevant subcontractors are included and that any non-compliance issues are identified and addressed.

Qualifications

  • Education: High school diploma or equivalent required; associate’s degree or relevant certifications preferred.
  • Experience: Minimum of 3 years in accounting, finance, or related field within the construction industry or other relevant sectors where subcontractors are used.
  • Skills:
  • Strong analytical skills and attention to detail.
  • Excellent communication and interpersonal skills, with the ability to build relationships with employees and clients.
  • Strong organizational and time-management skills, with the ability to prioritize tasks effectively.
  • Proficient in Procore, Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and comfortable with office technology.
  • Ability to handle multiple tasks simultaneously while maintaining a high level of attention to detail.
  • Positive attitude, strong work ethic, and a genuine interest in helping others.

Schedule: Typically Mon-Fri/Fully onsite
