Position Overview
This is a high-accountability front office position responsible for keeping our hygiene department productive, full, and running smoothly.
You will manage the hygiene schedule, patient communication, recall systems, periodontal conversion tracking, and insurance coordination.
This is not a passive position. It requires initiative, follow-through, and confidence discussing treatment and finances.
This role directly impacts patient experience, hygiene production, and overall practice growth.
Core ResponsibilitiesScheduling & Recall
- Maintain full hygiene schedules with minimal gaps
- Monitor daily hygiene production goals
- Manage 6-month recall and overdue patient lists
- Confirm appointments strategically to reduce no-shows
- Reschedule cancellations immediately to protect production
- Hate empty columns in the schedule
Production Support
- Track periodontal therapy conversion (SRP to maintenance)
- Monitor fluoride acceptance and hygiene case acceptance
- Work closely with hygienists to maintain schedule flow
- Assist with posting payments and claims as needed
Patient Communication
- Proactively contact patients due for cleanings
- Educate patients on periodontal treatment and maintenance
- Support treatment acceptance conversations
- Comfortably discuss financial options and patient portions
Insurance & Financial Coordination
- Verify hygiene benefits
- Clearly explain coverage and patient responsibility
- Assist patients in understanding value, not just price
