All Seasons Roofing & Restoration is seeking a highly organized, proactive Office Manager with experience in the roofing/construction industry to oversee daily office operations and support our growing roofing and restoration business for our Cheyenne/Sidney. This role is critical to keeping our administrative, scheduling, and customer communication processes running smoothly. The ideal candidate is detail-oriented, dependable, and comfortable working in a fast-paced environment.
Key Responsibilities
Office & Administrative Management
- Manage the day-to-day administrative operations of the office to ensure smooth, efficient workflow
- Develop, maintain, and improve office systems, filing structures, and administrative procedures
- Organize and maintain digital and physical records, including job files, agreements, permit management, licensing, and compliance documents
- Order, track, and manage office supplies, equipment, and services while monitoring costs
- Coordinate with external vendors, service providers, and professional partners as needed
- Support ownership and management with reports, correspondence, data entry, and special projects
Scheduling & Coordination
- Schedule roofing and restoration experts based on job timelines, weather conditions, and resource availability
- Coordinate inspections, material deliveries, subcontractors, and job start dates
- Communicate schedule changes promptly and clearly to roofing and restoration experts, customers, and management
- Track job progress and follow up on outstanding tasks to help ensure projects stay on schedule
Customer Service & Communication
- Serve as the primary point of contact for incoming calls, emails, and customer inquiries
- Provide professional, friendly, and timely communication with homeowners and vendors
- Set customer expectations by providing clear information on scheduling, job timelines, and next steps
- Address customer questions or concerns and escalate issues appropriately to management
- Maintain consistent communication throughout the project lifecycle to ensure customer satisfaction
Billing, Invoicing & Documentation
- Prepare and send invoices, collect payments, and track accounts receivable
- Maintain accurate job costing and documentation for completed and ongoing projects
- Organize and submit required documents such as contracts, work authorizations, permits, and warranties
- Assist with insurance-related documentation, including claims support and correspondence
Pay: $42,000.00 - $52,000.00 per year
