Position – Administrative Assistant
Hours – Hourly, up to 25 Hours per week. Benefits per Employee Handbook.
Compensation – Based on approval of the Annual Budget, compensation to be paid per hour
Position Description
Working under the direction of the Parish Administrator, the Administrative Assistant will serve in providing essential clerical, organizational and receptionist support to the Pastors, Staff, Council and various committees and will exhibit effective leadership skills in carrying out their tasks. The Administrative Assistant will act as the welcoming, organized face of the church office. Key duties include managing inquiries, maintaining databases, preparing Sunday bulletins and handling correspondence with high confidentiality.
Duties and Responsibilities
· Provide telephone and reception coverage, greet visitors and assist as needed
· Prepare all worship bulletins and maintain prayer list
· Prepare announcement for bulletin and verbal for pastors
· Provide agenda for Council and staff meetings
· Prepare Annual Book of Reports
· Prepare weekly calendar of events
· Schedule baptisms, communicate with candidates and prepare baptismal certificates
· Prepare and maintain labels and lists
a) Update and prepare mailing labels and lists as needed for committees
b) Prepare and maintain committee rosters
c) Maintain email database of Congregation members
d) Maintain church directory database
· Monitor and maintain office equipment
· Maintain flower chart and contact member for appropriate bulletin announcements
· Manage follow-up process for prospective members and visitors
· Manage new member process
· Coordinate scheduling of and participants in funerals and memorial services to be held at the church, as well as bulletin preparation.
· Other duties as required

· Computer: Working knowledge of Microsoft Word, Excel and Publisher and an ability to learn Church Windows, Canva and other computer programs as needed
