Position Summary:
The Receptionist serves as the initial point of contact for visitors, clients, and vendors at the commercial roofing company’s office. This role supports daily front office functions, manages communication, oversees basic administrative tasks, and assists with initial subcontractor compliance and vehicle tracking. The Receptionist also handles data entry in company software systems for service and accounting.
Essential Job Duties and Responsibilities:
- Greet and direct visitors, clients, vendors, and subcontractors in a professional and courteous manner
- Answer and route incoming phone calls using a multi-line phone system
- Manage incoming and outgoing mail, deliveries, and packages
- Provide job applications to applicants and assist with copying IDs or documents for onboarding purposes
- Assist with initial subcontractor compliance by collecting and verifying required documentation, including W-9s and certificates of insurance
- Maintain organized vehicle records, including registration, insurance, and service history
- Issue and track vehicle keys for company fleet
- Order GPS trackers and coordinate installation for new vehicles when necessary
- Enter 3rd-party service invoices into QuickBooks (QB) accounting software
- Record payments received into 3rd-party service software and update project profile sheets to support internal tracking
- Perform general clerical tasks including filing, scanning, copying, and data entry
- Maintain a clean and organized front desk and lobby area
- Monitor and restock ofice supplies as needed
Skills and Qualifications:
- High school diploma or equivalent required
- 1–2 years of receptionist, administrative, or data entry experience preferred
- Proficient in Microsoft Ofice (Word, Excel, Outlook) and QuickBooks
- Experience working with service or project management software a plus
- Strong organizational skills and attention to detail
- Ability to communicate professionally with internal staf, clients, and vendors
- Knowledge of certificate of insurance requirements is a plus
- Familiarity with commercial construction or roofing industry preferred
- Bilingual (English/Spanish) preferred, but not required
Physical Requirements:
- Prolonged periods sitting at a desk
- Frequent use of hands and fingers for typing and filing
- Occasional lifting of ofice supplies (up to 15 lbs)
- Clear verbal and written communication required
Work Environment:
- Ofice setting within a commercial roofing company
- Regular interaction with field staf, subcontractors, vendors, and administrative team
- Standard business hours, Monday through Friday
Job Type: Full-time
Pay: $17.00 per hour
Expected hours: 40 per week
