We are currently seeking an exceptional Customer Service, Sales & Administrative Coordinator to join our team. This is not an entry-level administrative role. We are looking for a highly organized, detail-oriented, dependable professional who can thrive in a fast-paced environment, manage multiple priorities simultaneously, and provide world-class support to our customers, leadership team, and internal departments.
This position is full-time and in-person at our Springfield, Ohio headquarters. Remote or hybrid work is not available.
Key Responsibilities
Customer Service & Sales Support
- Deliver exceptional customer service via phone, email, text, live chat, and in-person interactions
- Respond to customer inquiries professionally, accurately, and promptly
- Assist customers with orders, subscriptions, products, account issues, and general support
- Support sales initiatives and customer relationship management activities
- Maintain detailed customer records and follow-up communications
Executive & Administrative Support
- Directly support company leadership, including our executive team and CEOs
- Manage calendars, appointments, meetings, and scheduling
- Coordinate travel arrangements, lodging, transportation, and itineraries
- Conduct research projects and gather information for leadership initiatives
- Prepare reports, presentations, meeting agendas, and follow-up action items
- Assist with confidential projects and sensitive business matters
Accounting & Finance Support
- Assist with Accounts Receivable and Accounts Payable functions
- Monitor invoices, payments, collections, and customer account activity
- Communicate with customers and vendors regarding invoices and payment status
- Support accounting processes with accuracy and attention to detail
- Work comfortably with spreadsheets, numbers, and financial reports
Project Management & Operations Support
- Manage projects from start to finish while keeping deadlines on track
- Coordinate activities between departments and outside vendors
- Assist with purchasing and procurement activities
- Maintain inventory of office supplies and ensure all departments have needed resources
- Support manufacturing, sales, marketing, customer service, distribution, and operations teams as needed
- Help create, maintain, and improve internal processes and systems
Qualifications
Required
- Minimum 2 years of administrative, executive assistant, customer service, office management, project coordination, or related experience
- Outstanding verbal and written communication skills
- Exceptional customer service abilities
- Strong organizational and multitasking skills
- Excellent attention to detail and accuracy
- Ability to manage multiple projects simultaneously
- Strong mathematical and analytical skills
- High level of professionalism and confidentiality
- Advanced proficiency in Microsoft 365, including:
- Outlook
- Word
- Excel
- Teams
- SharePoint
- Strong problem-solving skills and ability to work independently
- Dependable attendance and punctuality
Preferred
- Executive assistant experience
- Accounts Receivable and Accounts Payable experience
- Purchasing and procurement experience
- Experience with Shopify
- Experience with QuickBooks Online
- Experience with ERP softwares
- Experience in manufacturing, dietary supplements, wellness, healthcare, or related industries
- Project management experience
