Summary:
All County Paving is seeking a Construction Municipal Contracts Coordinator to join our growing team covering multiple heavy civil, municipal and FDOT projects throughout the State of Florida.
The focus of this position is working with and through others, building and maintaining relationships, and working closely and accurately within established guidelines.
There is a required ability to comprehend municipal or county government specifications, as well as strong analytical, communication, organization, and administrative skills.
There will be many different people to meet and work with. The person in this position must be friendly and genuinely interested in the construction business, agenda, and needs of others, including the company, its management, the team, and the company's clients.
Requires attention and focus on the relationships with your coworkers, correct handling of project details with accuracy, and a faster-than-average workflow.
As time is usually a factor, the work must be done on time, as well as correctly. In general, this is a position where guidelines, structure, and established SOP must be followed closely, while communicating and cooperating effectively.
PRIMARY DUTIES:
· Assist in document control and processing to prepare preliminary lists of subcontractors and price quotations (Bids/Proposals), locate or research archived job information and/or plans, and transcribe meeting notes, punch lists, RFIs, etc.
· Meet with potential job stake holders to understand long-range needs and upcoming opportunities. Review and work with leadership team on go/no-go evaluation. When necessary attend job walks, and or county meetings. As required solicit, obtain, and review bids from subcontractors and project partners.
o Assist in development of prequalification documentation
o Assist in understanding and promoting the enforcement of All County Paving SOP and safety program as required in preparation of bid processes
o Document project meetings with subcontractors and executive management
o Ensure timely issuance and execution of subcontracts
o Coordinate with and act in the interests of clients to resolve issues and ensure successful transition of project to end users.
Responsibilities
- Monitors Bid Sites: Sends bid opportunities to team.
- Contract preparation and management: Drafts, reviews, and administers a wide variety of contracts and procurement-related documents, including agreements for professional services, construction, equipment, and supplies.
- Compliance monitoring: Ensures that all parties adhere to the contract's terms and conditions and comply with relevant local, state, and federal laws and ordinances.
- Liaison: Acts as a key point of contact between city departments, contractors, and vendors during the contract approval and administration process.
- Documentation and reporting: Maintains accurate and detailed records of all contract documents, timelines, and communications. They also prepare statistical reports for management.
- Maintains Records: Creates and maintains standardized contract and bid document templates to ensure consistency in language and provisions.
· Contract administration: Understand all contract documents and oversee change management reporting.
· Client relations: Represent All County Paving in a professional manner as the liaison between the office and field, subcontractors, Chief Estimator(s), and engineers. Maintain ongoing positive relationship to achieve high client satisfaction and increase potential for additional projected business. Assist with business development and marketing initiatives as requested.
·ACP Teamwork: support and receive support from other team members to resolve issues and maximize team success.

Preferred Qualifications
· Bachelor’s degree in Construction Management, Roadway Commercial Construction or equivalent training/experience in related fields
· Demonstrated ability to set and achieve skill development goals and exceed expectations
· Knowledge of modern construction management tools and software, including Procore, Sage, Bluebeam, and Microsoft Project
· Prior experience with budgets, purchasing, and accounting.
