Job Opening: Part-Time Administrative Assistant

All County Prestige Property Management is looking for a Part-Time Administrative Assistant to be the "face and voice" of our company. Position Overview
- Role: Administrative Assistant.
- Classification: Part-Time W2.
- Compensation: $19 per hour.
- Note: Rate is reviewed after a 90-day introductory period and again once the company reaches 240 doors under management.
- Pay Frequency: Bi-Weekly/Semi-Monthly.
- Supervision: The Employee reports directly to the Senior Licensed Property Manager.
Key Responsibilities
As a core member of our team, you will handle daily operations and inquiries to ensure a seamless experience for our owners and tenants.
Your duties will include:
- Communication: Solving tenant and owner inquiries at your level on the phone or face to face whenever possible.
- Financial Admin: Processing rental payments and providing tenants with receipts.
- Lead & Maintenance Coordination: Managing leads through Tenant Turner and assisting the maintenance intake (tenant work orders) via Property Meld.
- Field Support: Assisting the licensed Property Managers with the coordination of schedules, vacancy checks, and move-in/out inspections for the Field Assistant, including reviews using zInspector.
- Office Management: Sorting physical mail and providing a clean, clutter-free, professional reception area for visiting tenants.
Requirements & Expectations:
- Must have reliable transportation.
- Handle daily post office runs for incoming and outgoing notices.
- Scan and upload bills/documents to the appropriate Point of Contact and account.
- Confirm calendar appointments/meetings/showings.
- Keep track of inventory and maintain organization.
- Once you have mastered the core tasks, you may also assume responsibility for Facebook Marketing on vacant properties. Familiarity with Facebook is helpful, but not required.
- Philosophy: Must prioritize teamwork and have a strong ability to de-escalate confrontations regardless of the situation.
- Data Security: Absolute commitment to protecting the "Personally Identifiable Information" (PII) of our clients.
- Tech Savvy: Professional use of Google Workspace, Rent Manager Express and GroupMe.
- Performance: Success in the first 90 days will be evaluated based on the quality of photographic documentation and the timeliness of your reports.
Benefits & Legal
- Paid Sick Time (PST): Accrue 1 hour of PST for every 30 hours worked, available for use after 90 days of employment.
- Must pass a back-ground check.
- Notice: We request two weeks' notice from either party to terminate the professional relationship.
- Regulatory Compliance: Per ADRE guidelines, this role is limited to administrative support; all management decisions and lease compliance enforcement are handled by the Licensed Property Manager.
