Overview:
We are seeking a dynamic Administrative Assistant to join our team. The ideal candidate will provide essential support to ensure the smooth operation of our office. This position plays a crucial role in maintaining efficient office operations and supporting our team with a variety of administrative and clerical tasks.
Key Responsibilities:
- Answer and direct phone calls, take messages, handle customer inquiries, and assist with emails.
- Ensure timely opening and closing of the office, maintain cleanliness, and manage supplies inventory.
- Receive, sort, and distribute mail, process outgoing mail, and handle bills and payments.
- Assist in writing, formatting, proofreading, and editing proposals and contracts.
- Order and manage office and pool supplies, ensuring timely restocking.
- Provide excellent customer service, addressing client needs and concerns promptly.
- Perform general office tasks such as filing, data entry, organizing documents, managing calendars, scheduling appointments, creating spreadsheets, reports, and presentations, handling correspondence, and providing administrative support to staff as needed.
- Social Media Management.
Qualifications:
- High school diploma or equivalent; additional qualifications in office administration are a plus.
- Proven experience as an administrative assistant or in a similar role.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
- Excellent organizational and multitasking abilities.
- Strong communication and interpersonal skills.
- Attention to detail and problem-solving skills.
Work Environment:
- Office setting with occasional visits to pool sites.
- Regular business hours with potential for occasional overtime.
