Duties
- Manage front desk responsibilities, greeting visitors and directing them appropriately with professionalism and warmth
- Operate multi-line phone systems, handle incoming calls with excellent phone etiquette, and direct inquiries efficiently
- Perform data entry and maintain accurate filing systems using digital tools such as Google Workspace and Microsoft Office
- Coordinate calendar management and scheduling for team members, including setting appointments and reminders
- Support office management tasks such as ordering supplies, organizing files, and maintaining office equipment
- Provide clerical support including proofreading documents, preparing reports, and ensuring accuracy in all communications
- Offer customer support by responding promptly to inquiries via phone or email, ensuring positive interactions at all times
- Handle administrative tasks related to medical or dental reception duties if applicable, including patient check-in and appointment scheduling
- Assist with filing and Organizing fleet-related documentation.
- Help tack vehicle information and maintenance records.
- Assist with tracking safety meeting attendance
- Distribute safety materials and toolbox talks.
- Assist with occasional social media posting (approximately once per month)
- Help coordinate simple company events or activities
- Capture basic photos or content when needed
Skills
- Exceptional organizational skills with the ability to multitask effectively in a fast-paced environment
- Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications
- Experience with office management systems and familiarity with multi-line phone systems and phone etiquette
- Bilingual abilities are highly desirable to assist diverse clients and team members effectively
- Proven clerical experience with data entry, filing, proofreading, and document management
- Excellent time management skills to prioritize tasks efficiently and meet deadlines consistently
- Personal assistant experience or office experience that demonstrates reliability and attention to detail
- Knowledge of bookkeeping practices using QuickBooks or similar software is a plus
- Customer service skills that foster positive relationships with clients, visitors, and team members
