This is an exciting opportunity to be on-site at an active project location, working directly alongside Project Managers and field teams to support the seamless execution of our projects.Competencies / Characteristics RequiredMeticulous and detail-oriented, with a strong sense of ownership and pride in your workTeam player with a reputation for reliability, initiative, and follow-throughThrives in a fast-paced field environment and embraces collaborationHumble, hungry, and sharp — willing to learn and eager to growTakes responsibility, maintains composure under pressure, and approaches challenges with optimismHolds themselves accountable and does the right thing even when no one is watchingCommunicates clearly, listens actively, and responds thoughtfullyOrganized and disciplined in managing time, priorities, and multiple tasksAdaptable, resourceful, and proactive in finding solutionsProfessional and approachable presence when interacting with clients, subcontractors, and field staffEssential FunctionsProject CoordinationSupport Project Managers with project documentation, schedules, and communication between field and office teams.Set up and maintain project administration systems within Procore (project management software) and Sage Intacct (accounting).Create and maintain subcontractor agreements, change orders, insurance documentation, and other critical project records.Track and process subcontractor and vendor payments in coordination with the main office and Financial Controller.Assist with owner and subcontractor billing cycles; monitor accounts receivable and follow up on outstanding items.Review and validate project expenses, timecards, and cost tracking.Support the project team in ensuring all compliance documentation (insurance, bonds, licenses, lien releases, etc.) is received and maintained.Field Office ManagementOversee daily operations of the on-site project trailer, ensuring a professional and organized environment.Serve as the primary administrative point of contact for field operations, deliveries, visitors, and communications.Coordinate site meetings, including scheduling, setup, and preparation of materials or meeting minutes.Manage office supplies, equipment, and vendor services for the project site.Support jobsite compliance and safety documentation.Assist with project startup and closeout documentation to ensure all administrative requirements are met.Compliance & RecordkeepingMaintain accurate project records and logs in compliance with internal and external standards.Support certified payroll and labor compliance documentation (LCPTracker) as required for public projects.Assist in internal audits, ensuring all documentation is complete and compliant with company and project requirements.Education / Experience / RequirementsBachelor’s degree preferred but not required.2 years of experience in commercial construction, preferably in an on-site administrative or coordination capacity.Experience using Procore, Sage Intacct, Bluebeam, Microsoft Office Suite, and LCPTracker (a plus).Excellent organizational, communication, and multitasking skills.Ability to work independently and effectively in a fast-paced field environment.Professional demeanor and interpersonal skills to engage with clients, team members, and subcontractors.Compensation / Benefits / LocationSalary: $65,000 to $85,000 annually (based on experience)Benefits: 401(k), Medical, Dental, Vision, HSA, Life Insurance, Long-Term Disability, PTO, Mentorship OpportunitiesLocation: On-site, Orange County, CAOur PurposeWe exist to improve the construction project environment by inspiring people to build together.For more information, visit www.alignbuilders.com.
